The Payroll and Benefits Specialist is a critical part of vCORE Technology Partners Human Resources team; ensuring employee engagement and productivity is enhanced due to the level of excellence and consistency in payroll processing and benefit offerings and enhancements. This role will partner with the Director of Workplace Experience to constantly be thinking about and looking for better ways to expand our benefits package and payroll process.
What You’ll Do - Payroll
Maintains the HR team email and responds to requests within 24 hours of receipt
Conduct new employee on-boarding process related to payroll and benefits, including new hire paperwork and orientation
Perform daily payroll operations through Paycom and process bi-weekly, semi-monthly, and monthly payroll with utmost attention to detail to ensure accuracy
Review and audit timekeeping records for compliance with company standards and policies.
Review and audit personal employee information and changes about payroll, tax status, and payroll deductions
Process wage and overtime computations and payments.
Process voluntary and involuntary payroll deductions
Process garnishment orders including tax levies and support orders
Facilitate the application of payroll, unemployment, and various local/municipal taxes as the organization expands into new states
Establish new states and cost centers via Paycom that directly impact payroll and benefits set-up
Process manual check and employee wage error adjustments timely when required
Prepare final pay calculations for terminating employees following state-specific final pay requirements and process final payroll according to the wage and hour law
Process and track payroll change authorizations for pay increases, merit increases, supplemental earnings such as bonuses, commissions, stipends, etc.
Manage annual W-2 distributions and local paycheck distributions
Assist with year-end payroll preparations
Assists with governmental reporting and compliance by completing federal and state payroll tax reporting
What You’ll Do – Benefits
Provide support for employee inquiries regarding benefits eligibility and participation, and work with the Director of Workplace Experience in support of benefits programs and operations
Assists with data entry of all employee benefit programs (health insurance, disability, 401k, etc.), including eligibility, enrollment, life events, termination, and communication. Assist with monthly invoice/payroll deduction reconciliation
Organize, update, and file benefit related forms, notes, reports, annual audits, and archival data while adhering to PHI and HIPPA requirements
Maintains human resources information system (Paycom) records and conducts self-audit reports to help assure data integrity in benefit carriers
Assist with unemployment claims and responses
Prepare employee verification correspondence
Maintain confidentiality in all aspects of employee information
Perform related administrative duties as assigned, company errands
What You'll Need
Minimum 4 years related payroll experience including automated timekeeping and payroll systems experience.
HRIS system experience required, ideally within Paycom
Experience processing payroll for the state of CA
Must be a confident communicator, (including both written and verbal skills) and must be able to present to all levels of the organization effectively
Personal and professional attributes that exhibit a “whatever it takes” and “find a way” attitude
Obsessive attention to detail and organizational skills
Have an auditors mindset when it comes to all things payroll-related
Love people and thrive in a fast-paced, fun environment
Love of work with minimal supervision in the highly meticulous areas of payroll and benefits processing and administration
Ability to manage high-stress situations and to be flexible and adaptable when a situation requires it
Exposure to state and federal employment law
Excellent organizational, analytical, interpersonal, and customer service skills
