We are looking for an astute, determined professional like you to fulfill a Trade Operations Associate role within our team. Your Impact:

Database Accuracy and Integrity:


  • Review and sign off on daily audit reports and daily workflow functions

  • Detect problem issues and ensure they are resolved in a timely fashion

  • Independently handle ad hoc projects, and keep abreast of industry trends

  • Assist in complex matters/securities handling

  • Review/resolve trade discrepancies with brokers, gain agreement on all trade details (financial info as well as settlement info)

  • Confirm any necessary adjustments/corrections with Traders and process trade corrections in trading system as needed

  • Ensure all trades are sent to banks by deadlines on trade date, with particular emphasis on short settlement trades and other priority items

  • Affirm all domestic trades via OMGEO system and global trades via CTM; analyze and complete the daily CTM reconciliation report

  • Load all FX files, ensure all FX activity is matched with brokers in GTSS, and resolve any discrepancies

  • Ensure all trade confirmations have been saved, stored and filed

  • Maintain accurate broker settlement instructions in accounting system

  • Review and analyze futures variation margin movements with brokers/banks

  • Authorize wires for daily variation movements and send to banks

  • Handle incoming email issues, resolve or route accordingly

  • Monitor all trade processing in our Trade Order Management systems

  • Maintain data integrity of Trading systems (holiday calendar, security info, commission and fee schedules, etc)

  • Ensure daily blotters are clean by end of day, and all trades have been sent to banks, fund accountants, etc.

  • Confirm all manual/non-standard trades and trade requests have been received by the custodian (FXs, T-Bills, etc)

  • Build and maintain collaborative relationships with internal and external parties

    Trouble Shooting and Enhancements to Trading & Accounting System & other Applications Problems:



  • Consider industry trends and think of ways to improve operational processes

  • Communicate with the Systems group and Operations on any problems as they relate to the Trade Support workflow process

  • Consult in the writing of end user specifications and review final spec with the SysApps group

  • Coordinate testing on new reports or enhancements to Systems

  • Educate and train staff on functionality of new reports/enhancements

    Departmental Documentation Maintenance:



  • Procedures are continuously reviewed and enhanced for all Trade Support functions

  • Ensure control gaps are minimized/eliminated

  • Adjustments to existing procedures are presented to the Management Team for approval and then thoroughly explained to the department via hard copy, email, or department meeting 

  • Trade correction documentation

    Communications:



  • Consult on set up of new accounts; bank changes, new brokers, etc.

  • Liaison for Traders and other departments

  • Liaison to brokers and custodians

Supervisory Responsibilities:


  • Manage operational trade support functions

  • Train employees on enhanced or new responsibilities and on functionality of new reports/enhancements

  • Through daily interaction provide guidance and suggestions on how to improve work and personal performance

  • Perform all duties associated with the formal performance appraisal process

  • Prioritize and meet deadlines, and direct staff appropriately

  • Interview prospective staff members
     

Your Required Skills:


  • BA/BS Degree, preferably in Finance/Economics/Business

  • 4+ years experience in Operations

  • Highly analytical, organized and detail-oriented

  • Assertive, in a professional, personable manner

  • Recognize the importance of his/her decisions and their impact on the whole firm

  • Handle people and situations with maturity and the utmost professionalism

  • Excellent communication skills, both oral and written

  • Learns quickly when facing new problems; takes initiative and is a relentless and versatile learner; open to change; analyzes both successes and failures for clues to improvement

  • Ability to develop effective internal/external working relationships

  • As needed, the individual must be able to work after regular hours to get the job done

  • Occasional holiday and overnight coverage required
