Job Description:

Project and Training Specialists are responsible for assigning work to our cross-functional teams throughout all Print and Mail departments. They are expected to report on the daily status of tasks assigned and make recommendations to meet project deadlines. It is vital to manage multiple projects simultaneously and to speak to their timelines and resource management to be successful in this role. In addition to the project responsibilities of this role they will be expected to create, manage and oversee the overall process training and documentation for these departments. This position will be expected to keep, establish, and maintain inter and intra-departmental relationships in a remote environment. 

Job Responsibilities  


  • Speak to the timeline of all projects currently within the department and monitor and manage multiple project timelines simultaneously. 


  • Participate in interdepartmental collaboration to establish enforce and train processes across both operational and client services departments. Adhere to quality standard and best practices for maintaining instructional materials 


  • Report daily status on the tasks assigned and identify bottlenecks in work queues and reassign tasks as necessary to improve efficiency. 


  • Identify scope creep and escalate to appropriate level of management and keep stakeholders up to date on project status and potential issues. Negotiate time commitments and resource allocation. 



  • Motivate team members and foster team/individual engagement and act as liaison, problem solver, and facilitator. 


  • Present recommendations for deadlines, resource allocation, level of effort estimates, and staffing targets speaking to the upstream and downstream impact of decisions. 


  • Assign work that comes into the Design Operations and Noticing departments to its cross-functional teams and attend interdepartmental daily huddles and stand-ups. 


 

Required Qualifications  


  • 2 years of academic or practical work experience in training or project coordination/management in a similar field (operations, customer support and/or legal services) 


  • 2 to 4 years hands-on experience with the following: 



  • Windows platform and Microsoft Excel. 


  • Remote collaboration tools such as Microsoft Teams, Slack etc.  


  • Building relationships in a remote environment. 



  • Investigating scope creep to uncover root cause. 


  • Acting as a decision-maker in ambiguous situations under deadlines. 


  • Tracking complex details to meet simultaneous project deadlines. 


  • Interacting with key stakeholders, including high-level management.  


  • Changing planned direction and deliverable schedules and resources effectively. 



  • Speaking to process and procedures for case management.  


  • Development methodology and lifecycle 


  • Agile and waterfall project methodologies, 


  • Handling confidential/sensitive company information such as HIPAA or financial data 


  • Identifying trending areas of opportunity in process, training gaps, and compliance issues 


  • Ability to communicate effectively, both verbally and in writing; able to adjust for intended audience. 

Desired Qualifications 

  • Any hands-on experience with the following is not required but would be preferred: 


  • Training and onboarding new employees in a complex work environment, 


  • Creating training documentation and adhering to quality standard and best practices for maintaining instructional materials.  



  • Technical or development-related experience with SQL queries or PowerBI 


  • creating project plans, timelines, and change-request documentation. #LI-DNI
