JOB DESCRIPTION:

Responsible for planning, organizing, and directing the development and implementation of those policies, procedures and programs necessary to maximize the value of a corporate client's investment in those properties assigned in a specific region, and controlling the activities of the client's facilities in the region, so as to optimize the utilization of all resources under his/her control. Participate in formulation and execution of client's corporate real estate objectives, policies and plans as they pertain to the assigned facilities regional operations.

ESSENTIAL DUTIES :


  • Direct and oversee maintenance programs relating to the interior and exterior condition and appearance consistent with owner objectives. Communicate with staff to obtain input and recommendations that ensure operational and quality standards are maintained.

  • Supervise staff and vendors to ensure effective implementation of services in accordance with contractual, performance and quality expectations of the company and the client.

  • Ensures the established energy management, preventative maintenance, and safety programs, are followed within the guidelines of industry quality standards, operating objectives and goals established by the company for a specific region, including proper data being recorded within the approved environmental and work order systems.

  • Performs property assessment inspections to identify conditions which could produce accidents and financial losses, reporting and addressing findings in accordance with required EH&S programs.

  • Review the assigned properties to ensure compliance and performance are in accordance with established metrics and in compliance with the terms of the Management Agreement.

  • Provide monthly operating report, detailing current assessment of facility management performance, preventative maintenance, work orders, portfolio performance and operating initiatives.

  • Develop and implement fiscal operating and capital budgets for each assigned facility, including a re-forecast of budgets as applicable. Work with Newmark Client Accounting to monitor proper accounting procedures and approve portfolio operating expense activity.

  • Based on accounting reports, provide monthly variance explains against operating budget and accruals as needed.

  • Assist the client in the preparation of long-term strategy programs by continually seeking creative methods to increase portfolio operating efficiencies, decrease operating costs and provide an enhanced real estate environment for corporate client.

  • Oversee the selection of contract services, vendor negotiation of service agreements and monitor vendor performance to assure full compliance with standards established within the service agreement.

  • In conjunction with Contract Manager, maintain database of vendor contracts and expirations including certificates of insurance to ensure compliance in accordance with contractual agreements.

  • Manage and assist with projects such as MAC's and or facility related enhancements, not limited to HVAC, cosmetic, façade etc.

  • Oversee the review, design, bidding and construction of facility repairs and capital improvements as assigned.

  • Prepare and conduct the performance reviews and make salary recommendations for all direct reports. As appropriate, review and approve staff performance reports.

  • Responsible for the oversight and management of facility incidents not limited to safety, weather, environmental, to ensure proper reporting is addressed including coordinating activity and announcements with Incident Management and Business Continuity Plan.

  • Out of state travel to assigned locations is required. Travel is approximate 25%.



SKILLS , EDUCATION AND EXPERIENCE :

  • Bachelor's degree in business administration or a real estate related field. Required.
  • CPM and/or RPA designation. Recommended.
  • Minimum 7-10 years previous experience in property and/or facility management
  • Excellent human relations, written and verbal communication skills
  • Good negotiating and communication skills, ability to perceive problems and react quickly to effect solutions
  • Strong planning and organizational skills
  • Strong supervisory and management skills
  • May perform other duties as assigned
