Risk Management Specialist at Vitalant

Job Description:

PRIMARY PURPOSE

Under minimal supervision, this position performs a variety of duties related to insurance administration and management of claims. This position is responsible for providing system-wide support for the organization’s risk management program and for managing internal processes for the organization’s self-insurance and commercial insurance programs. This position will lead the organization’s development of programs to identify, evaluate, and mitigate risk for the organization on an ongoing basis. This position acts as liaison with attorneys and carriers for all property and casualty claims and insurance issues and is primary contact with commercial insurance underwriters and brokers. This position provides Risk Management support and various other risk management tasks for Vitalant, its subsidiaries and affiliates as assigned. This position reports to the Executive Vice President, Chief Legal Officer & General Counsel or his/her designee.

DUTIES AND RESPONSIBILITIES:

Performs all assigned duties in compliance with internal SOPs and external regulations.  Brings compliance issues to the attention of management.

Assures quality customer service to all customers.

Maintains good attendance and punctuality per the absence policy.

Oversees the submission of insured claims and all claims management processes, including Vitalant’s commercial, captive insurance programs and any monopolistic state workers’ compensation program where Vitalant or its related entities operate. Manages the Worker’s Comp vendor to ensure claims are processed accurately. 

Manages the risk management information system database, inputs claim details, and provides regular support to others throughout the company on matters related to the claims database and its users.

Processes requests from Vitalant employees to include certificates of insurance, vehicle insurance cards, insured property requests, premises use and indemnity agreements.

Ensures that Vitalant risk management policies, procedures and practices follow all applicable laws, regulations, and insurance requirements. Ensures policies and procedures are updated and implemented. 

Tracks donor injury and transfusion-related events, workers compensation, automobile, and property claims, monitors the progression of such events or claims.

Develops and manages an effective process for identifying, reporting and managing incidents, claims, and/or lawsuits. 

Under the direction of legal counsel, assists in claims and litigation management, including record gathering, witness interviews, discovery requests, insurance notices and approves or recommends settlement and litigation decisions in compliance with applicable laws.

Develops, provides and/or coordinates risk management educational programs. 

Collaborates with the Legal and Finance Departments and external broker or consultants to continually evaluate Vitalant insurance portfolio and oversees process and completes all insurance applications.

Serves as internal resource for risk related questions and/or issues (e.g. contract and lease review, hold harmless and indemnity agreements, insurance coverage inquiries, adverse event reporting). 

Ensure timely and accurate claims and expense reporting and reconciliation. 

Prepares insurance budget to include accounting throughout the year and preparing reports for the actuary and audits.

Performs all other duties, at the discretion of management, as assigned.

REQUIREMENTS:

Knowledge/Education

Bachelor’s degree or equivalent combination of education and experience required.  

Licenses/Certifications

Associate in Risk Management (ARM) Certification preferred.

Chartered Property Casualty Underwriter (CPCU) preferred.

Associate in Claims (AIC) designation or other risk/insurance designation preferred.

Experience

Three years of related experience required

Experience working primarily with insurance or risk management in a corporate or hospital setting preferred.

Experience with Origami or similar claim management database preferred.

Skills/Abilities

Proven organization and time management skills with excellent attention to detail and the belief that no task is too big or too small.

Superb communication skills with the ability to communicate professionally in writing and verbally across all levels of the organization and with external stakeholders.

Excellent relationship builder, able to demonstrate a high level of tact, discretion, diplomacy with all internal and external stakeholders, and ability to maintain confidential/sensitive information.

High level proficiency in computer and software skills (Microsoft Word, Excel, PowerPoint, Outlook).

Experience managing video conferencing (Microsoft Teams, Zoom, WebEx, Go-To Meeting).

Ability to compose and edit well thought-out professional correspondence.

Strong organizational and project management skills.

Ability to maintain a high level of discretion and confidentiality with internal and external customers/stakeholders. 

Ability to work independently and handle multiple tasks simultaneously.

Strong attention to detail.

Effective in working objectively with a diverse group.

Resourceful, strategic problem-solving ability with a fun positive “can do” attitude. 

Demonstrates initiative and strives to continually improve processes and relationships.

Ability to travel, as needed, to attend out-of-state meetings (anticipated not to exceed 5%).
