The Scripps National Spelling Bee is seeking a service and detailed-oriented administrative assistant with strong written and oral communication skills, proficiency with Microsoft Office and a desire to work in a fast-paced, collegial environment supporting a team of 12.  This position is located in Cincinnati, OH.

Responsibilities


  • Respond to customer service inquiries from schools, regional sponsors and other Spelling Bee constituencies.

  • Implement large mailings (organize, gather materials and information, make copies, stuff/pack, label and ship).

  • Prepare, update and proofread event materials and documents (e.g., name badges, signs, flyers placards).

  • Perform general support duties including arranging travel, ordering supplies, maintaining files, preparing promotional items and packing/unpacking materials.

  • Answer e-mail correspondence and fulfill information requests.

  • Provide clerical support for the program's managers, officials and consultants.

  • Handle payment processing functions, including accounts payable and receivable. 

  • Answer telephones and route calls.

  • Open and route mail.

Skills and abilities


  • Bachelor’s degree or equivalent job experience

  • At least five years of administrative support experience

  • Proficiency with Microsoft Office applications

  • Strong written communication skills, including excellent spelling and grammar

  • Strong problem-solving ability

  • Professional telephone manner

  • Ability to work collaboratively in a team environment

  • Highly organized

  • Gratified by playing a supporting role

  • Ability to research information through online searches and personal outreach/asking questions

  • Ability to rapidly learn program policies and procedures

Additional considerations


  • Reports to the Spelling Bee Director of Operations

  • Overtime required throughout the year upon occasion

  • Up to nine days of consecutive business travel required during Bee Week each spring/summer
