Job Description:

Required Skills & Qualifications:


  • BS degree in Life Sciences, Business or a related field of study or equivalent work experience

  • At least 6 months experience in a comparable position in an academia, research or medical center office environment

  • Previous experience with Tech Transfer highly desired

  • Excellent communication skills

  • Proficiency with Microsoft Office Suite (Word, Excel, Power Point, Outlook) required

  • Experience working with database systems, specifically Tech Transfer (Inteum na and/or iEdison ideal) desired     

  • Ability to assess situations and re-prioritize throughout the day                                                                                   

  • Ability to work in a busy environment with time sensitive deadlines                                                                         

  • Ability to work quickly and produce accurate work product

Description of Duties:


  • Provide Executive Assistant support to the department

  • Technology Database management (currently the office uses Inteum):

  • Intellectual Property docketing and data entry

  • Update database with remarks from staff meetings to track assignments

  • Enter patent expense and license revenue into database

  • Manage internal patent inbox to organize and record patent or agreement-related communications

  • Accounting support:


  • Manage invoices from law firms including invoice approvals from office staff

  • Keep internal records of all invoices and communicate with Accounting department to pay invoices

  • Coordinate and pay patent annuities by patent deadlines through external annuity service provider CPI

  • Process agreement-related payments


  • Planning and setting up meetings including scheduling and arranging catering for events:


  • Bi-monthly Intellectual Property Review Committee

  • Assist with Annual Innovation Showcase preparations

  • Investigator Education seminars and visits from business development groups, Trade organizations, etc.


  • Coordinate BD projects and generate reports:

  • Intellectual property compliance


  • Monitor and resolve messages received in the iEdison system


  •    Report inventions, patents, and utilization in the iEdison system
