Fixed Term Position

The administrative assistant will support the Employee Health Services Department and will be responsible for the day to day activities in the infirmary.

Job Requirements


  • Handle office tasks, such as answering telephone calls, filing, administer the physician’s agenda, coordinating meetings, and ordering supplies.

  • Greet and assist visitors.

  • Coordinate and confirm medical appointments (e.g., physician, EAP, physical therapy, etc.).

  • Receive, create electronic copy and deliver medical certificates to EHS staff, as instructed.

  • Use computer to generate reports, transcribe minutes from meetings, create presentations, and maintain EHS SharePoint site.

  • Administer electronic medical records to ensure completion and HIPAA compliance.

  • Generate purchase orders and work orders for services in the EHS.

  • Administer and manage roster of assignment of special parkings for expecting mothers and/or handicap.

  • Coordinate and/or support clinics and wellness activities.

  • Document controller for EHS procedures.

  • Participate in teams as assigned.

  • Make travel arrangements, such as booking flights, cars, and making hotel and restaurant reservations, when requested.

  • Maintain polite and professional communication via phone, e-mail, and mail.

  • Excellent interpersonal skills that promote engagement and teamwork.

Basic Qualifications


  • Bachelor’s degree in Office Systems Administration or Office Management, preferable

  • Fluent in English and Spanish is required

  • At least 3 years of experience providing administrative support to a Manager or above and in an office environment
