Job Description:

The Software Asset Management (SAM) Analyst IV is a senior SAM role that is responsible for daily management and control of the software portfolio to optimize the value and reduce the cost and risk of software.   Performs ongoing analysis of our asset data, processes and work streams to identify trends, risks and areas for improvement.   Validate requirements to create and modify IT software asset records and associated contract records in Aspera SmartTrack. Update IT software license asset records, software license agreements,  software maintenance agreements and associated relationships.   Ensure all changes to software license agreements are accurately reflected in Aspera SmartTrack as confirmed with license contract holders.  Understanding of upgrade and downgrade parameters that impact Right to Use (RTU) when assigning or modifying software license metric engine.  Provide expertise in ensuring that software license agreements, software licenses, software installations and associated linkages are reflected correctly in Aspera SmartTrack.  Provide expertise to ensure that software license records are linked to the correct hardware device. 

This role develops reports exhibiting license entitlements, installations, usage, renewal, procurement status and data gaps while researching and developing standardized SAM processes.  Conducts internal license reviews and reporting to ensure license compliance based on existing licensing agreements RTU definitions.   Develop trending analysis relating to current utilization and installation of licenses based on RTU.  This position works closely with internal technology owner, subject matter experts and MIS to obtain critical information required for software management. This role drives decisions regarding software licensing models and terms that have a direct impact on IT infrastructure.  Conducts periodic quality assurance audits in accordance with organizational policy, identifying discrepancies in the SAM database and resolving/escalating them as appropriate.  Works with the software asset manager to raise awareness of SAM processes and policies across the organization  through communication with and education of stakeholders.  Monitors and provides software usage reports to communicate and monitor compliance, liability and budgetary data.

Manage software lifecycle to include, planning,  requisition, procurement, deployment, maintenance and retirement.  Manage the software support and maintenance renewal process to ensure payments are justified, in line with contractual commitments, and are paid or canceled on time. Maintains records relating to the issuing of license keys, license portals, etc.  Effectively manages inquiries about software usage, deployment, license availability and external vendor license audit report requests in a timely manner.  

Required Qualifications


  • 4 Year / Bachelor’s Degree in Computer Science, Business Administration, or related technical field or equivalent work experience preferred; high school degree required

  • Active Certified Software Asset Manager Certification (CSAM)

  • 3-5 years master software license agreements, EULAs, license and suppport renewals process, etc. ( e.g Adobe, Oracle, Microsoft, VMware, Red Hat, IBM, Cisco, etc.)

  • Strong knowledge of software publishers'  buying programs, licensing models and software deployment and use rights (e.g. Adobe, Oracle, Microsoft, VMware, Red Hat, IBM, Cisco, etc.)

  • Strong knowledge and experience with software asset life cycle management processes planning, acquisition, deployment, monitoring, harvesting and retirement

  • Strong knowledge and experience with license management and optimization tools, software normalization, life cycle and discovery tools (e.g.  Aspera SmartTrack, LC4O, SmartCollect, Microsoft SCCM, JAMF, ServiceNow, Flexera- Technopedia and Normalize Platform, or similar)

  • Experience with development and upkeep of software asset management policies, workflows, processes, and procedures

  • Experience interpreting software licensing terms and conditions

  • Experience on where to locate RTU definitions
