Primary Objective of Position:

Under general direction manage all aspects of customer order fulfillment process. Own the process to fulfill an order from the time of receiving a customer purchase order, to the time that the Business Unit receives full payment from the customer.

Primary Job Responsibilities:

Order Management:


  • Receive and review customer purchase orders.  Using the Global Clean Order Standards, check that all information supplied by the customer is correct and complete to ensure the customer receives the product they need and at the time they need it.
  • Initiate proactive communication with customers to resolve purchase order issues or to collect missing information at the order entry stage.  Function as the primary contact and coordinator between the customer and the factories to resolve those issues.
  • As required, coordinate with the Inside Sales Representative, salesperson or other technical subject matter experts to have them review and validate the technical requirements of the customer’s purchase order.
  • Maintain updated customer information in MMI and RF business systems and other databases.  Collect and save needed documentation to ensure compliance with Micro Motion and Rosemount Flow record retention and documentation procedures.
  • Monitor the progress of sales orders and initiate ongoing, proactive communication with each customer. Function as the main point of contact for any order revisions or other issues that arise that may impact Micro Motion and Rosemount Flow’s ability to meet our commitment for delivery to the customer.
  • Ensure that each customer receives proactive notification of order status at designated key points of the order entry and fulfillment process.  (ie. Receipt of PO, Sales Order Acknowledgement and Shipping Acknowledgement) 
  • Maintain proactive and ongoing communication with each field salesperson regarding orders placed by their customers.  Maintain ownership and coordinate resolution of any issues that may arise. (ie. change orders, shipping delays, billing disputes and other issues)
  • Run daily backlog and manage hold codes to reduce finished goods in inventory.
  • Proactively notify customers of any delays that may impact the factories’ ability to meet our shipment commitment and discuss potential solutions.
  • Provide backup order entry support and assistance when required.

Process, Systems & Tools:


  • Maintain proficiency and utilize all of MMI and Rosemount Flow business systems required to enter and manage orders. 
  • Maintain accurate records of all activities related to orders from receipt of the PO to shipment of the products and documentation requested.  Understand and implement all aspects of the organization’s document retention procedures.
  • Understand and consistently apply Flow commercial policies and business practices related to all stages of the order fulfillment process. 
  • Ensure compliance with import/export, contract and government requirements. Screen orders for compliance with the business unit Terms and Conditions.

REQUIRED EDUCATION, EXPERIENCE & SKILLS:

Job Knowledge & Teamwork:


  • Understand basics of Micro Motion and Rosemount Flow products, model numbers and price list.  Understand general customer needs for each buying influence and the main industries served by the business units.
  • Understand basic Flow differentiation strategy, the fundamentals of System Thinking and CIP tools.  Attain and retain Yellow Belt certification.
  • Coordinate within assigned area team, with other area teams and with subject matter experts regarding workflow to maintain targeted customer service levels related to both order management and overall support of our customers.
  • Perform other duties as required.

Education:

Bachelor’s degree in business or technical field preferred.

Experience:

1 year customer service experience, preferably related to any part of the selling process. Experience as a member of a fast paced, customer-centric company is preferred, where there was a spirit of teamwork between peers, a direct sales force and representative selling organizations.  Work experience associated with selling or supporting a technical product where there was a business to business relationship, preferred.

Qualifications:

Solid prioritizing, planning and organizational skills along with being a self-starter.  Must demonstrate strong communication skills.  Under some supervision, individual must communicate clearly and concisely with both internal and external customers, utilize problem solving and decision-making skills and maintain attention to detail in a high-stress, working environment.   Must be able to work well in a close team setting.   Aptitude for technical topics is a plus.
