Job Description:

Primary Purpose

This position works in conjunction with project teams to gain a strategic position within the organization and work to ensure that projects proceed on the basis of their strategic alignment to the objectives of the organization. This position is also responsible for planning and managing programs and projects that will deliver solutions and services to meet business needs. Serves as a team leader, partnering with the business sponsor to develop scope and project approach, identifying tasks, assigning and coordinating resources and creating/tracking project schedules, while ensuring clear communication, timely delivery and quick resolution of issues.

Key Activities

Strategic Planning


  • Facilitate the strategic planning process with the senior leadership team to define both an enterprise and associated division strategies.

  • Work with senior leadership team to make decisions on allocating its resources to pursue this strategy.

  • Define and execute control mechanisms for guiding the implementation of the strategy, measuring success and modifying as needed.

  • Align all enterprise-wide and divisionally based projects against the strategic plan and manage project prioritization and resourcing issues.

  • Ensure that projects and programs that are undertaken in the organization measurably contribute to the realization of the enterprise strategy. 

 Business Partner


  • Work closely with the business to support developing and implementing business strategies.

  • Communicate accomplishments, decisions, and issues for senior executive audiences.

  • Provide assistance as needed to create materials for presentations, documentation, training, etc.

  • Collaborate, consult and influence with all levels of management and associates.

  • Provide thought leadership, analytical thinking and business experience to the development of the business and growth strategies.

 Project Planning


  • Aggregate and summarize information across all projects to provide a high-level snapshot of project status to management and other key stakeholders.

  • Lead multiple, highly visible and complex transformation efforts that span the enterprise; has broad project management responsibility.

  • Collaborate and support cross functional projects, ensuring better synergy between the projects running under different enterprise functions.

  • Ensure that the projects that are undertaken in various departments of the organization are aligned to the near and long term business objective, thereby ensuring that the organization is spending money on the ‘right things’.

  • Work closely with the business to provide initial scope and cost estimates.

  • Lead the business team in defining and implementing guardrails around change management, risk management, quality and communications.

  • Validate and/or create project budget.

  • Set and manage user/customer expectations throughout the project lifecycle.

  • Develop and maintain project plans and track progress to plan.

  • Work with resource managers to plan and assign various resources required.

  • Directly manage the planning and execution of one or many strategic initiatives and/or program work streams.

 Solution Delivery


  • Identify critical risks, issues and drive issue resolution; escalating to senior management/stakeholders, using contingency planning and demonstrating appropriate risk management. Lead all phases of the project lifecycle and deliver projects on time, on scope and on budget.

  • Design and document improved business processes and supporting systems to advance business goals and objectives.

  • Coordinate across departments and work with business units to gather requirements.

  • Ensure feasible and cost-effective solutions are implemented.

  • Manage cross functional project teams; assign and prioritize tasks; ensure deadlines are met.

  • Drive resolution of design issues to facilitate development and assure effective project delivery.

  • Manage expectations, challenge requirements and help establish priorities.

  • Coordinate test plan creation and testing effort.

  • Identifying training requirements and facilitate a training solution as needed.

  • Manage the knowledge transfer from project team to support teams and ensure solutions are stable and supportable.

  • Conduct project postmortem reviews.

 Project Administration/Special projects


  • Accountable for tracking and reporting of project costs.

  • Responsible for regular project status reporting to project teams, Director of the EPMO and senior leadership.

  • Manage key program requests and mobilize technology, business and operations to ensure requests are communicated across the enterprise.

  • Participate in service line resource planning.

  • Implement special internal/departmental projects as needed.

  • Perform other duties as assigned.

Skills

Education & Experience/Certifications


  • Bachelor's degree or equivalent business experience; Master’s preferred.

  • 10+ years project management & implementation experience.

  • PMP certification preferred.

  • Experience with managing the development of functional and technical specifications.

  • Demonstrated experience in initiating, managing and implementing complex business transformation projects/programs.

 Skills & Abilities


  • Excellent project management skills with the ability to multi-task, delegate and prioritize tasks.

  • Experience managing large cross-functional projects to successful conclusion.

  • Excellent verbal and written communication, presentation, interpersonal, conflict resolution, and customer service skills.

  • Financial acumen to manage and adhere to plans, budgets and variances within project(s).

  • Proven ability to evaluate and manage risk.

  • Ability to influence others to achieve a common goal.

  • Demonstrated ability to work effectively in a fast-paced, high volume, deadline-driven environment.

  • Ability to balance multiple demands and work both independently and as part of a team.

  • Must be flexible and adaptable to changing business models and organization structures.

  • Professionalism in dealing with all levels of management.

Work Environment


  • Typical office environment.

  • Up to 10% travel.
