Description
The
Submissions Coordinator is responsible for consistent submission
success. They have full knowledge of all brand submission requirements,
are responsible for working with producer and account partners in
assembling all submission components including the tagging, linking and
uploading of submission files and support materials (including
references). The Associate will also take screenshots as needed, as
well as maintain the master tag ID, claims lists, and submissions
calendar.
ESSENTIAL FUNCTIONS
Submissions
Work with brand teams to
assist in preparation of submissions, tag and link submissions, and formally
upload submission into client-side systems.
Compliance
Tag and link references in
Vault, Tempo, Zinc, eMAP/oMAP, and other client-specific systems as part of
project submission
Cross-functional
Collaboration
Partner with internal
functions to develop and execute scopes of projects, including estimates and
timelines, successfully and efficiently

* Create and maintain a regulatory review calendar to give teams an
at-a-glance view of projects.
* Tag and link references in Vault, Tempo, Zinc, eMAP/oMAP, and other
client-specific systems as part of project submission.
* Maintain master tag libraries for agency brands.
* Check for uploaded references and retrieve uploaded references as
needed.
* Comfortably handle multiple projects for multiple teams concurrently.
* Communicate project status during status meetings and work with
Producers on key submission dates for status/project plans.
* Establish and maintain master tag libraries for agency brands.
* Compose bibliographies for reference/project submission as needed.
* Communicate with teams and clients to resolve questions regarding
submissions.
* Work with team to find solutions to problems and to make suggestions
for improvements.
* Handle OPDP submissions including preparation and internal approval
of materials.
