The Contracts Manager is responsible for preparing and processing agreements and Purchase Orders for GPSE third parties, including HCPs, consultants, contractors, and vendors. This role serves as an expert in contract and finance management tools and systems and a liaison between GPSE team members, corporate functions (e.g. Procurement, Finance, Accounts Payable, Legal), and third parties to facilitate the timely processing of agreements, POs, and invoice payments in compliance with Takeda standards. The Contracts Manager supports the training of GPSE staff on applicable processes and helps address GPSE team member’s or third parties' questions and the timely resolution of related issues.
ACCOUNTABILITIES:
Prepare and process Purchase Orders (shopping carts) for multiple cost centers across the global GPSE business.
Onboard new third parties using Takeda tools and systems.
Develop and finalize agreements, liaising with third parties and internal Takeda functions. Upload agreements in Takeda contract management systems.
Liaison between GPSE Functions, Accounts Payable, Procurement, Legal, and external third parties to ensure POs are opened and processed in a timely manner.
Monitor status of GPSE contracts/POs. Alert GPSE Business Owners of contracts/POs nearing expiration or depletion of funds.
Coordinate invoice reviews by GPSE Business Owners.
Maintain understanding of new Procurement/AP/Legal/Finance requirements for contract, PO, and budget management.
Train GPSE team members on the applicable processes and related systems.
May serve as primary owner of POs or make updates to accruals.
Investigate invoices if not in line with PO requirements.
Support GPSE Business Owners to resolve issues regarding invoice payments or accruals.
Serve as the GPSE contract and PO process expert. Help address team member questions and support the timely resolution of related issues.
Support system migrations/upgrades, as necessary.
Produce regular reports required to oversee GPSE contracts and POs.
Respond to requests from senior leadership to support various projects and initiatives that may arise.
EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS:
Associate’s degree; or extensive work experience in contract or budget management / accounting
Pharmaceutical / Pharmacovigilance experience preferred
Experience with financial databases and procurement systems including SAP, SRM and SMS
Proficient in Microsoft Office programs, especially Excel
Strong collaboration and relationship management skills
