Job Summary

This position exists to perform and coordinate committee & operation activities in support of the technical activities of the Engineering in Medicine and Biology Society Executive Office in the manner determined by the Society Executive Director with input from the volunteer leadership. It is integral to ensuring that EMB is compliant and consistent with the policies, procedures, operational and by-laws as directed by the IEEE Board of Directors and the Technical Activities Board and ensures that EMB related volunteer leaders are prepared to do their work in an efficient, effective and timely manner.


The key components of this position are: Providing support and research to the Technical and Publication Committees of the IEEE EMBS, followed by the work necessary to develop and implement collaboratively the new products for each technical area and/or across IEEE operational units. Seminar and Webinar development to support our customers as well developing new topical journals, conferences or special events as part of the job scope. Skills in program management, finance, marketing, communications, and a technical acumen are required for this position


The role functions as an individual contributor and reports to the Society Executive Director, EMBS.


Key Responsibilities


Specific duties include but not limited to:
•Board Committee Support
•Provides high level administrative and financial activities support to the Technical Committee, Technical Communities and Publication Committee in the areas of society governance, volunteer support, rosters, data searches,
monthly reports, travel voucher reimbursements, strategic sourcing, meeting planning, etc.
•Strategic Planning
•Coordinates society activities with V.P. Technical Activities to maintain/increase EMBS presence in existing areas of technology
•Identifies with Volunteers future areas of technology relevant to the BME community and EMBS that can be supported by a Technical Community
•Actively pursues new business strategies based on an analysis of technical recommendations within specific interest groups
•Product Development
•Works with each Technical Community and Publication Editors to develop new products (conferences and events, workshops, educational programs, etc) for technical areas and publications sponsored by EMBS e.g. Industry Seminars - in this capacity the Senior Society Administrator works with the Technical Activity Committees of the Society to deliver world class in person 1 day customer based seminars and or webinars
•Publicity, Promotion, Public Visibility
•Provides support in the areas of vendor management, Advertising, conference exhibition management, web content management and collaborative activities with other “bio” societies and financial activities associated with these tasks
•Coordinates marketing, communications and public relations activities, internal and external to IEEE, with the goal of establishing IEEE as the thought leader in the LifeScience focus areas

2-4 years Business experience working in a communications, non-profit governance support, business administrative, science technology, conference or project management

Previous experience working with volunteer leadership based organizations


Previous experience working with Roberts Rules of Order, bylaws, policies and constitutionally based organization structures

Skills and Requirements (Custom)
Ability to analyze process driven workloads
Ability to work with financial data; must understand basic budgeting and accounting practices including but not limited to process financial statements, balance sheets, invoices and IEEE service agreements


Must be capable of developing efficient business processes and examining existing processes for cost and time efficiencies
Must have a proven ability to work with IEEE technical societies and councils. Alternatively this is equivalent to working across departments and job function in a corporate setting.


Knowledge of the IEEE infrastructure is desired


Excellent written and verbal communication skills to support program management as well as new initiative proposal development, contract negotiation, tracking and reporting


Excellent interpersonal skills and organizational abilities


Must be able to manage several different projects at once, maintain focus and prioritize tasks to complete goals within set timeframes


Excellent organizational skills, ability to manage several projects simultaneously


Must be able to adapt as the landscape within this position changes based on needs of the business


Must be a technologically savvy and literate who applies the benefits of technology to his or her work environment, keeps abreast of current technologies within the engineering and scientific community, and provides assistance whenever necessary during volunteer events


Must have or have the ability to understanding of the systems IEEE uses to deploy its intellectual property;


Must be able to utilize web conference tools and technologies related to virtual presentations and regularly use web content management systems/technology and a daily user of off-
the-shelf word processing, presentation and spreadsheet software


Demonstrated advanced and daily use of Microsoft Excel, effective email communications and the Internet for research and communication, plus a regular user of large databases, such as those used for association management or meeting registration


Travel required; must possess valid travel credentials

They also travel within the facility in which their office is located and to locations outside of the facility, to attend meetings, trainings, events, and other business activities.
