JOB SUMMARY:

Front Desk Coordinator coordinates and assists with the administration of the day-to-day operations of the front desk functions and duties. Coordinates maintenance and upkeep of community areas and the supplies and equipment needed for those areas. Carries out assigned responsibilities on G&A projects

PRIMARY RESPONSIBILITIES OF THE JOB:

* Coordinate and complete activities and tasks for the front desk/receptionist team to ensure exceptional customer service to internal and external customers

* Complete administrative and clerical duties including data entry, mail distribution, postage metering, petty cash management, and contract management, etc.

* Answer phones and transfer phone calls, greet and check visitor credentials, ensure visitor badging protocol, and other reception duties

* Provide information to callers by answering questions and requests

* Perform light cleaning, community area upkeep, run errands, maintain inventory, purchase supplies and food, and other office maintenance duties as assigned.

* Maintain headquarters supply inventory by checking stock to determine inventory level; anticipate needed supplies; place and expedite orders for supplies, and verify receipt of supplies, and stock common areas with supplies as needed

* Take ownership of the frontline position for OneRinchem showcase standards: ensure that all areas of the corporate building at Masthead meet quality standards of cleanliness, organization, and safety by working with other departments as necessary to maintain standards

* Format and print employee ID Badges, enter data, maintain and update front desk manual with current processes, etc.

* Coordinate scheduling of building and grounds maintenance with facilities management to ensure maintenance vendors have access to appropriate areas

* Complete a daily walkthrough of the building to make note of any items that do not meet OneRinchem showcase standards and communicate with facilities management to rectify any items that require attention

* Ensure operation of office equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques

* Assist in planning and facilitation of local and company-wide events as assigned

* Resolve administrative problems by identifying problems, researching and presenting solutions, and implementing agreed upon changes

* Other duties as assigned to contribute to the success of front desk team and Rinchem

* Assist with special G&A projects as assigned

QUALIFICATIONS:

* 1-3 years customer service or front desk experience

* Experience in facilities maintenance scheduling preferred

EXPERIENCE & EDUCATION

* HS Diploma

* AA/AS/AAS or equivalent work experience

COMMUNICATION SKILLS

* Must be able to communicate effectively and concisely with all levels of employees

* Must demonstrate urgency and flexibility constantly

* Must have excellent phone etiquette and the ability to establish rapport with diverse group of both internal and external customers

COMPUTER SKILLS

* Must be proficient with Microsoft Office Programs

* Experience with UPS CampusShip, Pitney Bowes, and Synergis/Genetec Badge Software a plus

OTHER SKILLS AND ABILITIES

* Ability to multitask while maintaining high priority commitments

* Ability to handle sensitive information and maintain strict confidentiality

* Ability to identify problems, make suggestions for improvement, and execute solutions

* Ability to complete data entry with a high level of accuracy

* Ability to lead and influence others effectively
