Job Description

As part of the Enterprise Technology & Services team, reporting to the Director, Risk Management, the successful candidate will act as a resource and subject matter expert in relation to the impact on records management policies and procedures.

Business Unit Record Coordinators play a central role in supporting and managing critical and often time-sensitive information requests for document holds or preservation as directed by Litigation, or Compliance departments.

The BURC will m aintain a current and accessible records inventory, including:




  • a description of all records series for their business unit and/or departments/functional areas




  • the location(s) where all electronic and hard copy records are located including applications, storage systems, databases and repositories and the names and contact information for the related system administration group




  • information on any third-party arrangements where records or information is managed offsite




  • the format(s) (paper, electronic, other) of the records




  • complete and maintain Records Destruction Approval Forms for approving the destruction of records stored at offsite vendors, (e.g. Iron Mountain) or internally stored record series.




  • review the global or divisional record inventory/retention schedule at a minimum not less than annually.




  • ensure that they are kept informed of updates to retention requirements, changes to record series, departmental recordkeeping procedures and processes, and any new or revised third-party agreements that include record keeping provisions.




  • complete regular self-assessments and status reports for the Divisional Records Coordinators to report to Global Compliance.




  • work with the Business Unit Compliance Officer or other business unit staff to develop procedures manuals, specific to their operations and incorporating the Global and, where they exist, Divisional policy and procedural requirements. 




  • Identify storage locations for electronic records (e.g. shared drives, databases, SharePoint sites etc.);


You bring:

2+ years related experience in Records Management including managing a records management program, or an equivalent combination of education, training and experience.

Excellent communication and interpersonal skills

Strong technical experience

Excellent organizational skills with keen attention to detail

Ability to handle multiple tasks and requests

Familiarity with Automated Record Management Systems
