Under the direction of the Construction Group Sales Managers the position is responsible for performing the duties listed below, but not limited to the following:

WHAT DOES THIS ROLE INVOLVE?

Construction Group Department

-

- Prepare and submit Prequalification Statements/Packages.

- Coordinate bid and contract documents between Pasadena and Santa Cruz

- Assist with proposal letters/presentations.

- Maintain a record of various project meeting minutes.

- Assist with generating and printing accounting reports from JD Edwards

- Learn and utilize BidTracer for tracking bid activities and pulling job numbers.

Project Managers/Project Sales Managers:

- Process job number requests, contracts, purchase orders, and change orders.

- Manage project documentation, materials, status monitoring, billing, and invoicing.

- Work with project engineers to track project documents/correspondence.

- Update RFI and submittal logs.

- Prepare submittals and close-out documents, with the assistance of the purchasing, start-up, and engineering departments.

- Organize the necessary job files.

- Assist the project team with new job site set-up, with the assistance of the purchasing department.

- Maintain and enhance ongoing relationships with customers and other contractors.

- Prepare, type, copy, fax, and distribute proposals and other general correspondence.

- Download drawings and specifications for bids.

- Maintain project bid boards. (BidTracer)

- Other duties and responsibilities as assigned by the supervisor.

Construction Group :

Assist construction group with printing reports

Data entry for the shop and field reports

Other miscellaneous duties as assigned

WHAT ARE WE LOOKING FOR IN A CANDIDATE?

- A College degree such as AA or AS is a plus.

- Strong interpersonal skills and the ability to relate with a variety of personality types.

- Good organizational and time management skills to handle multiple issues.

- Attention to detail and completing work to a deadline.

- Understand the necessity of maximizing the productivity of construction and the technical workforce.

- General knowledge of the construction process.

- Good communication skills.

- Good computer skills, (i.e. MS Word, Excel, Project, and Smartsheet).

- Familiarity with Prolog and other construction Software such as Procore

- Understand the importance of handling sensitive and confidential information and documents.

- Ability to work overtime when required.

- Willingness to learn new software

- Team player

Physical Requirements:

- Exerts up to 10 lbs. of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body.

- Involves sitting most of the time, but may involve walking or standing for brief periods of time.

- Ability to work in person or remotely

- Minimum work hours of 7:30 to 4:30 AM or 8 hours per day

This is a non-exempt position, Monday through Friday beginning at 8:00 a.m. ending at 5:00 p.m., with one hour for lunch.
