Job Overview

Under general supervision, the Academic HR Analyst will work as a member of the Physical and Biological Sciences Personnel/Payroll Team. This position will be the key contact with campus and system-wide UCPath (HR system) representatives and is responsible for collaborating with our team, departments, and other campus units to deliver efficient and effective personnel/payroll services and ensure compliance with policy and procedures.

Job Duties

70% - Under general supervision, provides advice and guidance on documented academic staff compensation programs, academic personnel and payroll policies and procedures. As part of the team, responsible for the day-to-day operations of the Division's personnel, payroll, and time and attendance functions for academic employees. Perform data entry to facilitate payroll and ensure accurate employee action tracking. Prepare standard and ad hoc reports and analyze data; respond to requests for reports from Office of the President, central campus and assistant deans; serve as records manager, overseeing maintenance of academic personnel and subject matter files. Act as Divisional liaison with the campus UCPath (HR system) Team and system-wide UCPath Center.

20% - Participate in academic review cases by reviewing, preparing, and assembling submitted files. Advise supervisors and employees on personnel policies and procedures. Review personnel files for compliance with University policies and draft appropriate action letter. Provide detailed analysis of personnel actions ensuring consistency with University policies and divisional practice and precedent, identifying potential issues, and making recommendations.

10% - Provide general support to the unit; participate as a member of a team, serve as backup to others in the unit during peak periods and as needed. Participate in various campus, divisional and unit meetings or trainings and serve on committees and workgroups as requested. Other related duties as assigned.

Required Qualifications

* Bachelor's degree in related area and / or equivalent experience / training.

* Analytical, critical thinking, and problem-solving skills to analyze and interpret policies, procedures, and situations in a multi-faceted way and develop and implement creative recommendations and solutions within established guidelines.

* Ability to recall, retrieve, and communicate detailed information quickly, clearly and accurately.

* Excellent organizational and time management skills to independently track and coordinate activities, set priorities, manage deadlines, and maintain superior service levels in a professional manner.

* Demonstrated ability to work with others from diverse backgrounds, using insight, tact, and diplomacy to facilitate reasonable outcomes in a manner that supports and advances the campus Principles of Community in all activities.

* Demonstrated ability in employing diplomacy and empathy in customer service, which cultivates and maintains a positive interpersonal environment with internal and external clients.

* Demonstrated highly-effective communication and interpersonal skills.

* Writing skills sufficient to prepare concise, logical and grammatically correct correspondence and documents, with an ability to carefully proofread and edit one's own work and the work of others.

* Experience with databases; desktop computer proficiency, including word processing, email, calendaring software, internet research, and spreadsheets, and the ability to learn complex systems.

* Ability to work accurately, exercise flexibility, initiative, good judgment and discretion.

* Ability to cope with ambiguity, frequent interruptions, changing priorities and competing deadlines.

* Math skills sufficient to calculate payments accurately.

Preferred Qualifications

* Basic knowledge of human resources policies and programs, and how they affect other organizational policies and procedures.

* Knowledge of a human resources management systems, and / or other related business software programs and system.

* Knowledge of academic culture.
