Responsibilities

Position Description: The Project Coordinator is an experienced and seasoned mechanical, controls or software engineer who has good general knowledge of both IS and PS project life cycle implementation. The Project Coordinator will be assigned and report within the NA Project Management Group.

Project assignments will be determined by the Project Management and Solutions Development Managers. Projects requiring a Project Coordinator, participation shall include but shall not be limited to projects which are:





    • Highly complex, IS or PS projects




    • Large IS or PS Projects




    • IS or PS projects which incorporate new technologies.




    • IS or PS projects with very aggressive schedules.



      The Project Coordinator will complete at least two project life cycles, before being considered for potential advancement within or external to Project Management. Project Life Cycle Tasks/Responsibilities

      Typical tasks and activities could include, but are not limited to, the following during the project life cycle:
      Solutions Development Phase




    • Assigned to projects by Solution Development Manager/Project Management System Engineering Manager.




    • Attends sales to Concept/Estimating turnover meeting.




    • Participate in Concept development, and bring in AE or Development to assist SD in concept definitions.




    • Create or provide input in creation of SDO for inclusion in final proposal, and for use by the Solution Development and Estimating group.




    • Call concept technical reviews as maybe required with participants from Application Engineering, Solution Development, Installation, Development/R&D and Sales through the course of the solution development/concept life cycle. Validate technical solutions vs. customer specifications including product to be handled vs. equipment utilized, operational rates, equipment rates, etc.




    • Work with the assigned Project Manager to develop the proposal project schedule and milestones.




    • Evaluate and provide input into the creation of the project cash flow analysis.




    • Work with the assigned Project Manager to identify potential project risks, inclusive of mitigation plans.




    • Work with Purchasing to indentify resale requirements and evaluate resale quotes received.




    • Review proposal documentation for completeness, accuracy and validate that content addresses all customer functional requirements and scope. Compare pricing/estimates to defined scope including SDO to validate completeness and alignment.




    • Provide technical support during the customer sales presentation as maybe required.




    • With the assigned Project Manager, call the pre-sales Post Mortem review meeting to evaluate the project solution, pricing and proposal phase of the project. Capture lessons learned and document back to the various stakeholders.




    • If project sale is successful, summarize all proposal documentation, alternates, etc. in anticipation of the Sales/Project turnover so that the application team will have clear definition of the final as sold scope.


      Project Application Phase




    • With the assigned Project Manager and Project Sales Person, call and conduct the sales/project turnover meeting.




    • Provide knowledge transfer for all aspects of the project from the Solution Development/Sales phase to the application group.




    • With the assigned Project Manager call/conduct the Project Planning and Coordination meeting.




    • With assigned Project Manager, call technical review meetings prior to key milestones, including release of mechanical system layouts, creation of System Functional Specification (software), controls DO creation, etc.




    • In conjunction with the Project Manager, and application engineering, develop and finalize system commissioning plan.




    • In conjunction with the Project Manager, develop and finalized the in-house testing and acceptance plan (if applicable) and final system acceptance test plan.




    • Observe in-house emulation testing, and validate system functionality and site readiness of emulated subsystems.




    • Monitor and drive deliverables, internal and external. Example, mechanical layout drawings to installation, controls layouts and cabinet drawings to installation, etc.


      Project Installation Phase




    • Conduct engineering site turnover meeting to installation.




    • As may be required, assume the role of Site Project Manager:



      • Become direct on site customer liaison/interface




      • Become liaison between Dematic and other site contractors




      • Monitor project site progress against schedule




      • Coordinate with the site installation supervisor and Dematic GR expediting for site material requirements.




      • Manage and monitor progress of Dematic Subcontractors at site.




      • Monitor installation quality and coordinate with Installation supervision to resolve any items or issues.




      • Assist with expediting engineering deliverables which may be required (drawings, etc.).




      • Validate installed equipment against layouts and scope documentation/drawings.




      • Provide weekly progress reports to the Project Manager




      • Attend site contractor/customer coordination meetings as required




      • Maintain overall system punch list, and track completion of all items.




      • Document and communicate any/all product related issues suggestions for improvement to include ease of installation, maintenance, etc to R&D.

        Project Commissioning and Customer Acceptance Phase




      • As required, become on-site commissioning coordinator/manager:



        • Conduct daily morning onsite coordination meetings




        • Coordinate installation commissioning and engineering commissioning activities, per schedule.




        • Monitor commissioning progress, and provide weekly reports to Project Manager




        • Validate system functionality against project scope requirements as subsystem commissioning is completed.




        • Coordinate internal rate testing and test product, product handlers for supporting this testing




        • Coordinate and conduct internal integration testing (WMS, WCS, PLC level, etc.)




        • In support of the Project Manager, coordinate and conduct formal customer rate and functional testing by subsystem, and for total system per approved ATP. Secure ATP signoff from the customer




        • Document action items resulting from ATP, and validate completion.




        • Maintain overall system punch list and track completion of all items.




        • Document and communicate any/all product related issues suggestions for improvement to include ease of installation, maintenance, etc to R&D.

          Project Customer Turnover Phase




        • In support of the Project Manager, secure final system acceptance sign off from the customer.




        • In support of the Project Manager, insure that final punch list is complete, and signoff is received from the customer.




        • In support of the Project Manager, conduct the formal CS turnover and warranty start activity.




        • In support of the Project Manager, conduct the system safety walkthrough with the customer.




        • Coordinate site demobilization, including excess material disposal or return, overall system cleanup, etc.




        • Participate in Project Post Mortem, providing direct input and project experience and learning’s




        • Following the Post Mortem Meeting, conduct meetings to insure that lessons learned are communicated directly to all project disciplines within the organization (SD, AE, PM, CS, and R&D).

          R&D Assignment Phase




        • Provide project/product related learning’s and input into the R&D group.




        • Participate in solution development for addressing issues and items discovered during the project.




        • Work with R&D to prototype, test and validate product enhancements which may occur as result of project experiences and customer input.




        • Education:

          Bachelors Degree required.  PMP certification preferred.










Qualifications

The Project Coordinator shall be assigned and directly involved in the total project life cycle, beginning with assignment within the Solution Development group, reporting to the Solution Development manager. The Project Coordinator shall follow the project into the application/engineering phase reporting within Project Management group, potentially become the project site manager or commissioning coordinator at the project site. The Project Coordinator will transition to the Product Development group for a short period after project acceptance to provide direct product issues and enhancement support derived from project learning’s and customer feedback, reporting to the Product Development/R&D Manager, and finally move back to the Solutions Development group to begin the project life cycle on another assigned project.
