The IT Project Manager coordinates the initiation, planning, execution, monitoring and closing of projects with a specific term that have a beginning, an end and specified deliverables. The IT Project Manager moves project(s) through the Enterprise Project Management Office (ePMO) governance process including ePMO processes, templates and Project Portfolio Management (PPM) Clarity tool updates. The IT Project Manager creates, manages and reports on project financials and budget. Projects may vary in number, size and complexity.
Key Accountabilities
Project Management Support:
Support IT Project Managers, Program Managers moving projects through ePMO templates, tools and processes
Develop Clarity data extracts, portlets, and reports using basic technical and programming skills
Assist IT Project Managers, where necessary, with IT Production Change Control process, and management of calendar
Provide training and respond to questions on Clarity and ePMO processes and templates
Support ePMO project intake, initiation and planning processes, per ePMO governance guidelines, templates and Clarity tool
Support Enterprise Risk reviews for initial risk assessment and final risk assessment
Plan the Project:
Complete ePMO project intake, initiation and planning processes, per ePMO governance guidelines, templates and PPM Clarity tool
Coordinate Enterprise Risk reviews for initial risk assessment, as required
Coordinate vendor contract signing, if required
Define the scope of the project in collaboration with Project Sponsor and other key stakeholders
Work with the Project Sponsor and the Corporate Finance Department to develop a project budget
Create a detailed work plan with tasks, dates, resources, and accurate work estimates
Identify skills and resources required to complete the project. Leverage Clarity resource management function to make resource requests
Assist Resource Managers in building accurate work estimates and tracking within projects
Develop a project communication plan to provide project progress an status to project sponsors, key stakeholders and core team members
Execute the Project:
Manage and deploy the project according to the project plan
Identify project risks and coordinate plans to mitigate using a Risks, Actions, Issues, Decisions (RAID) log
Escalate issues and resolution recommendations to the leadership team
Monitor project progress. Conduct status meetings with meeting agenda and follow-up meeting minutes
Communicate project status to project sponsors, key stakeholders and core team members
Manage, track and report project budget leveraging Clarity PPM tool. Escalate project budget issues early and provide recommendations to resolve
Publish regular project status reports for Management and Stakeholders. Publish to appropriate collaboration tool, i.e. SharePoint
Monitor and Control the Project:
Work with the Project Sponsor, Corporate Finance Department and IT Finance to actively manage the project budget
Track project actuals vs. budget. Validate receipt of goods/services before authorizing invoice payments
Monitor project costs according to the approved budget
Document and update any changes to the project budget, if required
Manage and report accurate, high-quality, project financials in Clarity
Maintain Clarity time tracking for all resources assigned to the project. Reconcile the time tracked to the estimates hours to improve estimating of resources in future projects
Ensure project deliverables are on time, within budget and at the required level of quality
Assist in budget process, as requested. Complete budget templates, per timeline
Close the Project:
Maintain high quality, timely and complete project artifacts in appropriate tools, i.e. Clarity, SharePoint, Egnyte
Complete project lessons learned or retrospective session to reflect and document what happened on the project and identifies actions for project improvements going forward
Close project applying ePMO process, templates and Clarity PPM tool
Continuous Improvement:
Recommend enhancements to streamline Clarity tool usage
Look for opportunities to enhance best practices and recommends those changes and improvements
Partner with the ePMO to define, implement, and continually optimizing standards, templates, and processes for the team
Develop and maintain a good rapport with all IT departments to ensure continued adoption of the PM methodology and their active involvement in the planning and execution aspects of IT projects
Utilize post-project reviews with project participants/stakeholders and create a lessons learned or retrospective document. Leverage learnings to enhance and improve projects moving forward
Partner with the ePMO to assist in defining and refining the governance structure
3-7 Years of related experience.
Bachelor's degree or equivalent experience.
Project management certification or demonstrated experience in project management.
Experience with one or more project management tools; Clarity preferred.
