Senior Legal Secretary at SBA Communications

The Job



  • Compose and prepare confidential correspondence, reports, and other complex documents.



  • Screen incoming calls and correspondence and responds independently when possible.



  • File and process reports. Make outbound verification and information gathering phone calls.



  • Scan all new fully executed documents and filing them in Worldox.



  • Maintain a spreadsheet to keep track of over 4,000 open files and approximately 8,000 closed files.



  • Open and close out files.



  • Maintain the file room with all files.



  • Litigation Tracker – Send out a weekly e-mail requesting an update of items; give new attorneys access to the litigation tracker in Thomson Reuters and train them on use of Thomson Reuters.



  • Lead System Administrator for the Thomson Reuters Legal Tracker for the entire company for the processing of legal invoices and updating of litigation matters, including working with the main administrators for the company’s International teams.



  • Corporate Creations – For each year, keep track of the matters as to who they go to as they come in.



  • NDA Tracker – Keep track of all signed NDAs with third parties.



  • Audit Letters – work with Ernst & Young to provide legal letters as needed throughout the year.



  • Print documents.



  • Notice to Owner/Contractor – Date stamp, scan and e-mail each notice as they come in.



  • Witness and notarize documents.



  • Schedule conference calls.



  • Maintain the office calendar as to the attendance of our team.



  • Organize new employee set up for our team as needed.



  • Handle department mailing and shipping activities.



  • Maintain contact lists and department/region phone directory.



  • Order and maintain supplies for the equipment, department and staff.



  • Organize and schedule meetings.



  • Communicate with clients and members of other departments.



  • Organize documents and files. Process expense reports for the attorneys.



  • Lead person for safety activities (such as fire drills) for the Legal Operations group.



  • Plan departmental seminars and conferences as requested.



  • Other projects and duties as assigned.

Qualifications:

Education and/or Experience:



  • Knowledge of document formats of a legal nature such as contracts.



  • Understanding of or experience with real estate transactions, particularly leasing is very beneficial.



  • Must demonstrate understanding of legal terminology.



  • High School Diploma or GED required, AA degree strongly preferred.



  • 3+ years administrative support experience in a legal department.



  • Must demonstrate advanced knowledge and ability to work with MS Word, Excel and PowerPoint.



  • Must be proficient in Microsoft Outlook e-mail and calendar applications.



  • Ability to interact professionally with all levels of personnel via phone, e-mail and written correspondence.



Language Skills:



  • Ability to read, analyze and interpret common legal documents.



Mathematical Skills:



  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.


 

Reasoning Ability:



  • Ability to carry out instruction furnished in written, oral or diagram form.


 

Certificates, Licenses, Registrations:



  • Notary Public preferred but not required.
