Mail Systems Operator

2nd Shift:

3:00pm - 11:30pm

Position Summary

Responsible for the daily processing of outgoing mail at the work location.

Key Duties / Responsibilities


  • Ensures proper functionality of conveyor to the mail sortation system.

  • Basic mechanical ability to adjust mail sortation system issues

  • Review primary sort for ongoing activity changes

  • Complete mailroom audits for accuracy

  • Lifts, moves, and drops mail bags weighing up to 60 lbs.

  • Match multiple quantity orders.

  • Processes and adheres mailing labels with appropriate mail rates.  Also produces daily manifests and completes all necessary forms and paperwork.

  • Basic system troubleshooting to include contacting the appropriate technical support for resolution– run diagnostics to determine if it is a Harland Clarke or supplier issue.

  • Ordering mailroom supplies and equipment for various methods of delivery

  • Communicate effective verbally and in written format with outside organizations such as FedEx, USPS, SmartMail both by telephone and in person

  • Audits the bag and scale for accuracy

  • Work with management to identify and resolve delayed in delivery issues

  • Other duties as assigned

                                          COMMERCIAL MAILROOM ASSOCIATES

Pulls orders from conveyor

Scans boxed order on either FedEx or USPS

Prints out label from computer

Matches printout label to boxed label to ensure correctness

Places labeled box onto pallet

Once pallet is full, moves pallet to staging area, waiting for outgoing distribution

Education & Knowledge Required

High School or equivalent

Experience / Skills / Abilities Required

Forklift Experience preferred

Computer Skills – Above Average

Communication & Contacts Required

A.            Establish and build a strong relationship with various carriers to facilitate the handling of issues (pickups, problems/issues)       

B.            Position constantly interacts with others from work unit, sharing data and/or information.           

C.            Communication is with other workers, plant manager, and shift supervisor.

D.            Most communication is verbal, with the exception of written notes to other workers or supervisor

E.            Position is required to read

·              House letters

·              Reports

·              Plant procedures

·              Operations manuals

Physical Requirements / Working Conditions

Heavy work-exerting up to 100 pounds of force occasionally, and/or up to 40 pounds of force frequently, and/or up to 20 pounds of force constantly to move objects. Lifting and carrying mail bags up to 75 pounds; stooping; crouching; reaching; pushing; pulling; fingering; grasping; reading fine print. Associate stands/walks for 8 hours a day. Associate must wear hearing protection and safety shoes.
