Summary: The Special Programs Registrar is vital member of the special programs team. This is a full-time, temporary position responsible for maintaining all files for students receiving special programs (special education, English Language services, 504 plans, etc.) in a well-organized, compliant manner.

  • Maintains all files for students requiring special programs (Special Education, English Language services, 504 Plans, etc.) including but not limited to organization of files, related services files, individualized education plans (IEPs), evaluation team reports, progress reports, accommodation logs;

  • Ensures that all signature pages for these documents are obtained and filed; Coordinates with special education teachers for missing documents;

  • Coordinate with all departments (related services, special education, English Learner Coordinator, 504 Coordinator) to receive and file reports and other documents as necessary;

  • Coordinate with enrollment team to facilitate enrollment for new students with special programs;

  • Works with school registrar to review records for all newly enrolled students for potential need of special programs;

  • Processes incoming records; Uploads them to the appropriate database;

  • Communicates status of records to Caseload Teachers;

  • Processes requests for records from outside School Systems/Agencies within the prescribed time period (24 business hours);

  • Assists in regular file reviews to ensure compliancy including verifying the presence of documents;

  • Works with the Special Programs Manager and other administrative staff to develop and present appropriate training to special programs staff to support compliance efforts.

  • Assists administration and teachers with communication to family when additional documents are needed for programming and services.

  • Attends updates and trainings related to IEP and state reporting systems and provides updates to the team.

  • Maintains / develops a standard operating procedure that aligns to the school's special programs manual.

Supervisory Responsibilities:


This position has no formal supervisory responsibilities.


Minimum Required Qualifications 



  • High school diploma or General Educational Development (GED) Certificate AND

  • One (1) year of clerical work experience OR

  • Equivalent combination of education and experience

  • Must live in NM within commuting distance of the Gallop-McKinley school office.

  • Available for this SY 20-21

 Certificates and Licenses: None required.


OTHER REQUIRED QUALIFICATIONS: 



  • Experience with Microsoft Office (Outlook, Word, Excel, PowerPoint, etc.); Web proficiency.

  • Knowledge of, or the ability to learn, special education, section 504, and English learner compliance requirements

  • Demonstrated organizational skills and knowledge of systematic filing procedures

  • Ability to use web-based database programs to enter and monitor special education information

  • Good verbal and written communication skills

  • Ability to travel 10% of the time (for state testing and professional development as needed)

  • Ability to pass required background check

DESIRED Qualifications:  



  • Associates degree

  • Two (2) years of experience

  • Basic knowledge of special education, Section 504, and / or English Learner laws and procedures.

  • This will be an office-based position in Gallop-McKinley. Candidates must live within commuting distance.  The noise level in the office is usually moderate (computers, printers, light foot traffic).
