Facilities Support - Mail Room at JLL

Job Description:

The following duties are typical for this classification. Incumbents may not perform all the listed duties and/or may be required to perform additional or different duties from those set forth below to address business needs and changing business practices:
Mail Organization
Sort and collate corporate mail, including the coordination of handling of returned letters, adjustments, bills, orders, payments, and junk mail.
Resolve issues with incorrect, returned mail, and other package oddities.
Receive and correctly process outgoing mail, including weighing, determining correct postage, packing, and reading for shipment.
Arrange for pickup of outgoing mail through the facility.
Handle correspondence projects that can include large scale letter, circular, and other document folding and envelope insertion to prepare for distribution.
Accurately record and handle registered mail.
Routinely and accurately coordinate internal mail distribution to various departments throughout the facility.
Pick up and deliver mail to/from other offsite buildings, United State Post Office, and other various shipping companies
Pallet Jack Operation
Experience with proper function and use of pallet jack operations preferred; in lieu of ready experience be willing and able to complete related training provided to ensure safe and accurate use on a regular basis.
Be willing and able to operate pallet jacks as needed.
Routinely unload large quantities and large loads of mail, shipments, various sized packages from delivery trucks on site.
Office/Facilities Assistance
Provide support for small office moves, staff moves, furniture realignment as assigned.
Set up and tear down of conference rooms, training rooms, the cafeteria as needed for events.
Perform hospitality services including meeting rooms set up for required food and drinks before and during an event with minor housekeeping and clean up provided after in advance of the nightly cleaning crews.
Provide reception and multi-line phone relief for the corporate front desk as needed.
Provide soft service support throughout the facility as needed; for example, decorating for holidays, meetings, and other functions as assigned.
Assist with inventory management of related facilities equipment, including mailroom tools, equipment, mail-related supplies, soft service supplies and stock, cleaning supplies, general office supplies for the corporate office, etc.
Ensure corporate offices are adequately and regularly stocked with mail supplies.
Regularly stock copy rooms and printers, copiers, etc. throughout the corporate facilities.
Other clerical and facilities duties as assigned.

Knowledge, Skills, and Abilities:
Any combination of education and experience that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:

Education:
A high school diploma or GED equivalent is required.

Years of relevant experience:
1 - 2 years previous general administrative services experience in a corporate setting required, plus 1 2 years previous customer service experience preferred.
Strong interpersonal skills, with the proven ability to work with and through others to accomplish the tasks at hand.
Highly organized with a penchant for neatness in the worksite and in getting tasks done.
Ability to use common sense and problem-solving skills to work and thrive independently when needed.
Excellent communication skills in English, both written and oral, required.
Excellent computer skills, specifically word processing and database entry and knowledge of fax and scanning machines.
Knowledge of Microsoft Office and Computerized Management System (CMMS) database applications would be a plus.
Ability to learn quickly and with enthusiasm for success.
Hiring is contingent upon a candidate's ability to pass drug/alcohol test and background check.

Certifications/Licenses:
Possession of, or ability to obtain, an appropriate, valid driver s license.
Must have and be able to maintain a clean DMV record as the role requires Facilities staff to regular drive accompany vehicle to/from office locations, post office, and supply stores during standard business hours.

Physical Work Requirements:

Environment: Role requires facilities staff to spend large amounts of time walking within the offices, up and downstairs, use of elevators, and regular stationary standing in the mailroom
Physical: Candidate must be able to lift 50 pounds un-assisted and 75lbs with mechanical assistance. Plus sufficient physical ability to work in an office setting and operate office equipment; to perform light to moderate lifting and carrying; standing, walking, or sitting for prolonged periods of time; operating motorized vehicles.

Vision: See in the normal visual range with or without correction; vision sufficient to read computer screens and printed documents as well as safe operation of mailroom equipment like a pallet jack or drive a company vehicle on-site and off.
Hearing: Hear in the normal audio range with or without correction.

Working Conditions:
Work is performed in a dynamic environment that requires sensitivity to change and responsiveness to changing goals, priorities, and needs. The employee is occasionally required to work outside of normal business hours and various off-site nearby facilities.

Work Schedules:
This role is set to work full time during normal client business hours. Occasional work will be needed during off-hours or weekends should issues or events arise.

Required Travel:
With the role is set at the Roseville corporate office, the only expected travel would be local as described herein for regular facilities and mailroom job duties.
