Position Overview

We are looking for a HIGH ENERGY individual to provide administrative support to the CEO/CFO, exercising confidentiality, tact and diplomacy. Keeping executives on track regarding meetings and tasks and follow-up on actionable items. Proactively anticipate executive needs (e.g. planning for staff meetings), provides comprehensive administrative support with teamwork and collaboration skills while maintaining confidentiality to the senior executives and relevant department staff to facilitate achievement of departmental objectives. Maintains schedules and records for executives and ensures that the general operation of the departments/groups supported are orchestrated in a smooth manner. We are open to this being a developmental role for someone with 4 – 5 years experience in a business setting to learn our business under the direction of the CEO and then move into another role.

Responsibilities Include:


  • Manage calendars including meeting requests, prepare expense reports, coordinate tax filings, handle other written communications as well as other administrative tasks as assigned.

  • Coordinate catering for meetings.

  • Work with limited direction and ambiguity to manage flow maintain focus on responsibilities and timelines.

  • Arranges necessary travel, coordinates meeting arrangements and tracks expense reimbursements submitted for review and approval.

  • Receive, screen and direct incoming calls, visitors, mail and e-mail.

  • Maintain contract files and keep master log of all contracts on file.

  • Coordinate North American technician credit card expenses and related expense reimbursement programs

  • Perform department financial reconciliations as assigned (i.e. Accounts Payable, Legal Fees, Family Group, Monthly Credit/Order Reporting, Reporting of Monthly Order type, travel & entertainment reporting, etc.

  • Utilize business software applications with expertise (e.g. Preparing and editing PowerPoint presentations and Excel spreadsheets) to prepare correspondence, reports, presentations, agendas, minutes of meetings, etc.

  • Maintain files related to Leased properties.

  • Provide back-up for Chairman’s Executive Assistant and assist with meetings and schedules for other executives.

  • Other/Miscellaneous - Departmental - specific tasks and projects as assigned.

  • Attention to detail with poise, presence of mind and overall pleasantness.

  • Strong anticipation – placing themselves in the calendars of executives to proactively identify upcoming needs and find ways to prepare in advance.

  • Ability to engage with the executive and team. Professional, clear, articulate, open to feedback and looking to continually improve and upgrade skills. Focus on priorities with high level of organization and preparedness.

  • Strong customer service, project management and time management skills.

  • Extremely detail oriented and very well organized.

  • Able to manage time and multi-task to accomplish a wide variety of requests and conflicting priorities.

  • Strong verbal/written communication skills, customer service skills and interpersonal skills.

  • Proficiency in MS office applications; Word, Excel, Outlook, and PowerPoint.

  • A flexible, can-do attitude with customer orientation and strong dependability.

  • Excellent problem resolution skills.

  • Willing/able to travel occasionally. 

  • Ability to adapt to an ever changing environment.

  • Speaking and writing in Spanish is highly desired.
