Job Description:

Under the direction of the Client Operations Manager, the Operations Analyst (OA) is a key member of the account team. The OA performs account analysis and detailed level processing based on the department in which they are assigned. The OA may specialize in one or more of the following areas:

Business Processing
Efficiency Projects
Data issue resolution
Onboarding

Duties also include managing day-to-day relationships with members of the Client Services Teams, interacting with numerous internal and external parties, assisting with on-boarding of new clients, leading training efforts for other team members, developing and improving operating processes, recommending product enhancements and system testing. The OA also provides transaction level settlement support to assigned clients, master file maintenance, data entry, transaction matching and resolving any data issues.

Major Responsibilities/Essential Functions: 

Management of weekly process within specified assigned clients or workflow queues:


  • Accurately complete all tasks on job specific task list


  • Serve as lead and/or facilitator for projects


  • Monitor trending of specified data flow


  • Research interruptions or discrepancies in data flow


  • Take a solution based approach when addressing supervisor/manager with issue


  • Distribute workload to other team members, as assigned by supervisor/manager


  • Develop efficiencies within team and present these ideas to supervisor/manager


  • Implement efficiencies after receiving approval from manager


Using professional accounting judgment, responsible for monitoring, reviewing and adjusting posted data, including:


  • Analyzing unapplied cash categories to identify exceptions or unusual items


  • Making general ledger adjustments to properly classify transactions


  • Recommending and implementing best practices for transaction processing such as business rules, tolerance settings, transaction tagging


  • Identifying transaction fees/contractual adjustments


  • Performing manual cash applications


  • Researching adjustments made by third parties


  • Resolving remittance discrepancies


  • Resolving transaction posting discrepancies and file transmission issues


  • Developing processes and procedures to maintain and monitor unapplied cash balances at acceptable levels


Perform routine file maintenance including but not limited to setting up new stores, carriers, or processing rules based on direction given by account team or manager.

  • Through trending, identify common exceptions relating to job specific tasks

  • Work with team members  to establish business rules that can be used each time these common scenarios arise

Internal reporting for management information 

  • Provide daily/weekly reporting to supervisor/manager as determined based on job specific duties

Performing special projects and other duties as assigned by management 


  • Utilize best practices in time management skills in order to perform regular daily tasks in addition to extra projects as assigned by supervisor/manager


  • Participate in User Acceptance Testing (UAT) as assigned


Follow HIPAA policies and procedures per company guidelines

Minimum Requirements:


  • At least seven years of relevant experience involving customer service, computer usage, data entry and data analysis AND a Bachelor’s degree in Business Administration, Accounting, or a related field; OR an equivalent combination of training and experience required to complete the essential functions/job responsibilities of the position


  • Ability to analyze transactions, detect and avoid errors


  • Ability to perform detailed work with numerical data and to make mathematical computations rapidly and accurately.


  • Ability to prepare and analyze complex financial reports and records


  • Ability to create documents requiring accuracy and confidential handling 


  • Ability to maintain detailed, accurate records and files


  • Ability to organize tasks and time to ensure timely completion of all projects
