Job Description: Job Summary: Provide clerical support to the Employee Services Section within the Human Resources Department. Responsibilities will include supporting SwRI's Family & Medical Leave (FMLA) administration, Short-Term Income Replacement (STIR) leave administration, as well as New Employee Visits scheduling, document/materials preparation, spreadsheet tracking and reporting. Answer incoming telephone calls/message distribution, assist walk-in visitors/employees, interact daily with leave/program coordinators, management and other clerical team member(s). Assist with other HR related processes and programs, to include EEO Document data entry and filing; report management, file maintenance, preparation/processing of formal documentation/correspondence, and tracking of invoices/billing statements. Assist in office organization, materials and supply ordering; initiate helpdesk and facility operation requests/help tickets for completion. Additional responsibilities will include backing-up other administrative and clerical staff, assist in special projects, record retention & disposal, data entry, document/file organization and preparation of correspondence. Must be available for overtime as required. Work closely with co-workers, key organizational contacts and groups, assist with overflow work from, and cross-train with, administrative colleagues as necessary. Exercise confidentiality and discretion with sensitive information. Assist in providing overall administrative support to section and other departmental needs as necessary to ensure execution of its functions and responsibilities.
Education/Experience: Requires a high school diploma or equivalent with a minimum of 4 years related experience with continuing clerical/secretarial/office administrative skills development to ensure and maintain a high level of clerical/office administrative professional knowledge, skills and abilities. Must have experience and knowledge in the following areas: Clerical/Office Administrative Support, Secretarial, Customer Service, Communication Skills, Office Technology, Business Software/Applications, Attention to Detail, Multitasking, Document Management/File Maintenance, Telephone/Email Distribution, Meeting Planning, Organization and Prioritizing. Must be passionate towards supporting an HR department with a variety of projects, be able to successfully operate independently as also as member of the HR team. Must be proficient with Office Suite applications and general knowledge/interest in working with databases and spreadsheets. must have strong interpersonal skills and be able to communicate and interact effectively with people throughout all levels of the organization. Must have flexibility to work overtime if required. Must have continued interest in acquiring new Skills and knowledge, organizational knowledge, and process improvement. A valid/clear driver's license is required.
