We are currently looking for a Payroll Administrator at our Expocrete - western Canadian head office located in Acheson, AB.
Reporting to the Controller, the Payroll Administrator will work closely with Shared Services Payroll, Managers, Supervisors, Human Resources and employees to ensure the accurate and on-time delivery of pay. The Payroll Administrator will also administer benefits and complete remittances for union dues, pensions, RRSPs, WCB and benefits.
Job Duties & Responsibilities
Enter all new hires, terminations and changes (updates, i.e. address changes, withholding changes, wage & salary changes, department/plant location, etc.) into payroll and time and attendance programs as applicable.
Prepare Records of Employments (ROEs) as required
Enter and confirm accuracy of all deductions and earnings for all employees (e.g. taxes, benefit premiums, RRSPs, garnishments, etc.)
Upload relevant employee related documents into Payroll system and maintain employee paper file
Provide all new hires with paystub login accounts and reset passwords as requested
Provide all new hires with appropriate time & attendance access, reset passwords for employees, supervisors and managers
Answer questions from managers and supervisors related to time & attendance system
Review and ensure time & attendance system is accurately tracking hours by ensuring appropriate rules & codes are assigned
Ensure Payroll is compliant with Employment Standards (BC, AB, SK, and MB) and Collective Agreements
Enter payment instructions (e.g. boot allowances, bonus, severance pay, etc.)
Review & ensure accuracy of Payroll pre-check when received from shared services
Ensure accuracy of taxable benefits
Enroll, terminate and process changes with Group Insurance provider, Critical Illness and Retirement Plan provider
Confirm Critical Illness premium deductions on each pay
Confirm appropriate benefit deductions are assigned to employees
Complete & submit non-work-related disability forms and collect employee paid benefit premiums while employee is on leave
Update Payroll system with applicable benefit plan & rate changes
Reconciliate Group Insurance Invoices
Send out confirmation of enrolment benefit letters and packages
Answer questions related to benefits and Group Retirement Plan
Remittances and Garnishments
Enter deductions and complete remittances for union dues, pension, health & welfare plan, WCB, and RRSP
Process all garnishments, including filling out and submitting garnishment related documents
Reconcile garnishment payments every pay period
In collaboration with the Finance team, ensure appropriate payments are made (e.g. union dues) and reconciled each month
Investigate and correct Payroll related errors, and complete Payroll audits as required
Ensure Payroll is compliant with company Policies and Procedures (e.g. Vacation, Flex-Time, Statutory Holiday pay, etc.)
Provide payroll reports to Finance, Human Resources, Managers/Supervisors as required
Answer all payroll related inquiries for Employment Insurance, Service Canada, CRA, Unions, etc.
Prepare employment verification letters as requested
Provide employment confirmation as requested
May complete year-end Payroll related tasks such as T4 preparation, etc.
Provide information requested and support APG Canada Payroll Manager as required
Knowledge, Skills and Abilities
Must posses a high attention to detail & be very organized
Must be curious & willing to understand and resolve system errors
Must be very knowledgeable of Alberta and British Columbia Employment Standards, familiarity with Saskatchewan and Manitoba Employment Standards considered an asset
Must be experienced in processing pay for union employees
Experience working with Kronos and/or Ultipro considered an asset
Must be well versed in a variety of Payroll remittances
Canadian Payroll Association certification is an asset
Minimum of 5 years of experience in Payroll
Must be able to work collaboratively with a variety of different people
Must be able to work with minimum supervision and under pressure
