Job Description:

Position Summary:  Bachelor's Level Management Opportunity! The Program Manager of Operations will be responsible for the oversight and supervision of the agency's clerical and administrative processes and staff within 4 locations; including Pittsburgh, Beaver Falls, Butler and Zelienople.   Daily job duties include developing consistent procedures for office staff, organizing office sites, improving efficiencies in each office, managing confidential information, providing customer service to people in crisis, and the hiring and training of administrative/clerical staff.


  1. Minimum of Bachelor degree in a human services field, human resources or business.

  2. Minimum of two years’ experience in organizational management or system operations in a business or non-profit environment.

  3. Minimum of one year of supervisory experience. 

  4. Ability to lead, motivate and coach others in a fast-paced, family-focused environment. 

  5. Demonstrated proficiency in operations relevant technology. 

  6. Knowledge and methods used in organization of information and attention to detail.  

  7. Working knowledge of computer software:  Electronic Medical Record (EMR), G-Suite, Microsoft Office.

  8. Excellent customer service skills including dealing with difficult people and crisis situations.

  9. Excellent written and verbal communication skills. 

  10. High level of understanding confidentiality and protected health information handling. 

  11. Ability to identify with the agency Mission Statement and support the agency’s Core Values.

  12. Eligible for PA State Police Clearance, PA Child Abuse History Clearance and FBI Clearance.

  1. Ensure consistency and fidelity with agency values and preferred clinical approaches. 

  2. Facilitate communication relevant to operations to program areas/location.

  3. Implement and monitor the continuous quality improvement (CQI) process.

  4. Implement and monitor the process for insurance authorizations.

  5. Implement and monitor agency-wide payroll process.

  6. Monitor staff training hours.

  7. Monitor staffing needs.

  1. Prepare reports as requested.

  2. Represent agency at external events as requested.

  3. Serve on committees as assigned, which may include HIPAA, Safety, QI, Core Team, Wellness and others. 

  4. Prepare and support all program audits.
