Advertising Services works to provide the highest level of customer service and uphold the standards of Dow Jones and The Wall Street Journal. Ad Services staff are the “go-to” people working closely with sales, agencies, and internal teams (news, legal, finance et al) maintaining and administering company policies and guidelines. In reference to the work they produce, they provide a solid foundation of the most up-to-date and precise information within our organization.
Ad Services Coordinators are a pool of talent based in New York and New Jersey with occasional travel as required to either location. Coordinators are flexible in daily work assignment providing a liaison between sales, clients, agencies, editorial, operations and others inside and outside the company as required. They provide solutions, suggestions and production services to clients, sales, agencies, suppliers, etc.
Under general supervision, Coordinators work together to provide sales support, layout, preflight, asset management and phone and web sales services as required by work assignment. This includes knowledge of product structure, standards, procedures, production systems and workflows required to produce daily and periodic products for Dow Jones and the New York Post. Coordinators act as the single point of contact for customer issues, logging all queries accurately and tracking progress on outstanding incidents to follow through and ensure customers receive timely updates and resolution.
Works together in a fast paced team environment, providing support and follow through for colleagues.
Maintains an open line of communication with customers, clients, sales, suppliers, agencies, editorial, operations and all others required.
Working knowledge of graphic design and imaging standards. Working with the latest printing and software specifications, assists clients and news to achieve the best reproduction possible. Produces for and review advertisement contract proofs with clients.
Assists with clarification, addressing questions or concerns while in the planning stages for sales and clients. Works with product layouts, scheduling, operations and customer service to provide position and strategic solutions to meet the customer needs. Provide knowledge of the paper's layout and guidelines for booking advertisements. Offer reasonable solutions and alternatives to satisfy client needs.
Provides print production support for Dow Jones and New York Post products including working with layout and advertisements. Includes knowledge of Adobe Creative Suite, preflight/workflow, layout tools, preflight, PDFX-1a etc. to assist with file composing, exporting and ensuring that files are built to specification.
Tracks materials and orders, monitoring production needs and accounts of a special nature, size or schedule. Inform other workgroups of any scheduling conflicts, reproduction issues, special positioning, launches and exceptions made to policy. Maintains an accurate and updated database of customer accounts, agencies, and their vendors for contact information for the tracking of material.
When assigned to magazine work, engage with the news and ad production operations and contract print suppliers using the various schedules, procedures, workflows designed for the different publications. Magazine work includes production aspects of layout, image preparation and a high degree of coordination with ad sales, editorial and the print suppliers.
Upholds the policies and professional standards of The Wall Street Journal.
Learns new processes, systems and workflows as assigned through on the job and/or formal training.
Performs clerical work as required using the various production systems, booking systems, personal computer and standard office application software.
Work assignment will be flexible as needed for workload within the advertising services group to provide for a high level of customer service and redundancy of capability.
Works with others on special projects/assignments, and all other responsibilities and duties as assigned.
Bachelor's degree preferred, high school diploma minimum.
1 year prior work experience in the print industry preferred.
Strong verbal and written communication ability.
Ability to take initiative and drive projects with minimal supervision while at the same time, working effectively in a group while supporting colleagues.
Excellent customer service skills, experience in customer service and order entry.
Experience within fast paced work environments and ability to multi-task, including working effectively and calm under pressure and on deadline.
Ability to learn new processes, systems and workflows.
Organized and detail oriented.
Working knowledge of printing, workflows, standards and Adobe Creative Suite.
