Job Description Summary

We are seeking to hire a Project Coordinator to assist Project Mangers with managing projects across various programs and portfolios, in support of the Advertising, Circulation, Editorial, Finance, HR, Technology and Sales departments. In this capacity, the Project Coordinator will be responsible for organizing meetings, maintaining project documentation repositories, monitoring project tracking tools, and timely project status reporting. The person in this role will also help to ensure adherence to established processes and procedures within the organization. Some tasks associated to this role consists of assisting with follow-up on open questions, action items, and escalations; as well as tracking assumptions, risks, and issues.

Integral to the success of this position is positive interaction with PMO team members and project stakeholders to ensure effective management and momentum of PMO projects, as well as organizational strategic initiatives.

Job Description

Responsibilities: 


  • Maintain project plans using MS Project and workflow/process flow documentation for assigned initiatives.

  • Assist Project Manager with coordinating and conducting iteration planning ceremonies.

  • Facilitate/participate in key Agile rituals across Scrum teams.

  • Document and follow up on important actions and decisions from meetings.

  • Facilitate reporting on project progress, risks, issues, and changes.

  • Assist with presentations and communications across departments to relay project status and escalations. 

  • Ensure adherence to team productivity tracking processes to establish team velocity, enhance team efficiency, and enable team to complete tasks according to established timelines.

  • Adhere to and assist with implementing best practices for predictable release planning.

  • Communicate release schedules and timelines to other departments.

  • Contribute to team discussions advocating process changes and experiments to improve team efficiency and consistency.

  • Maintain tools to support work items and processes for the team and within the PMO.

  • Create process, data, and work flow documentation.

  • Manage SharePoint and Confluence instances ensuring that project SDLC documentation is stored in a central repository.

  • Assist with coordination and adherence to PMO Project Pipeline processes and procedures for new project ideas and requests.

  • Above all else, foster a collaborative team environment driven to deliver great solutions while creating a pleasant environment and develop good rapport with project stakeholders.

Requirements: 


    • 1-3 years of experience in PMO

    • Experience as a Project Coordinator

    • Strong written and oral communication skills a must

    • Competency in Microsoft applications including Word, Excel, Powerpoint, Outlook, Visio and Project

    • Can maintain a high level of energy and engagement

    • A love to learn and improve, always looking to bring something new and helpful to the team

    • Leadership and motivational skills

    • Understanding of contemporary agile methodologies, best practices, and trends preferred.

    • Experience working on a scrum team preferred.

    • Publishing/Media Industry knowledge preferred

    Education/Certification:

    • Bachelor’s degree in Computer Science or Business (Marketing, Product Management, etc.)

    ESSENTIAL FUNCTIONS:


    • Must be able to work cooperatively and adaptively in a team setting.

    • Must be able to work under pressure, multitask and produce high quality work in a deadline driven environment. Must be able to utilize computers, software systems and tools.

    • Must be able to work irregular and/or long hours

    • Must be able to sit and/or stand for periods of up to 12-14 hours

    • Must have valid driver’s license and be able to drive if necessary

    • Must be able to travel

    • Must be able to handle up to 30 pounds of equipment,

    • Must be able to engage physical movement on uneven surfaces in inclement weather subject to outside environmental conditions and noise
