Job Description:
PRIMARY RESPONSIBILITIES:
  • Review management processes in order to improve workflow, simplify reporting procedures, or cost improvements.
  • Analyzes and identifies gaps for department practices, such as record keeping, forms control, office layout, suggestion systems, personnel and budgetary requirements, and performance metrics to establish consistency and revise established procedures.
  • Coordinate collection and preparation of operating reports, such as time-and-attendance records, new hires, transfers, budget expenditures, and statistical records.
  • Prepare reports including conclusions and recommendations for solution of administrative problems.
  • Draft narrative, financial, and statistical reports.
  • Compile data using various research techniques and on statistical compilations involving an understanding of operating programs, policies, and procedures.
  • Distribute and provide feedback on operating policies.
  • Review and answer correspondence, draft and update documents, create and maintain department newsletter.
  • Answer the phone, provide information, and receive information concerning matters related to the department.
  • Assist management and staff on technical and operational processes.
  • Assist department in a variety of administrative detail matters and non-technical operations including but not limited to; establish and maintain a variety of files and records, make arrangements for meetings, travel and conferences, prepare agendas and materials, prepare and distribute minutes, sort and distribute mail, replenish office supplies, greet and refer visitors, transcribe and troubleshoot office equipment.

EMPLOYMENT QUALIFICATIONS:

EDUCATION REQUIRED: Associate's degree in business or related field. Combinations of relevant education and experience may be considered in lieu of a degree.

EXPERIENCE REQUIRED: Three years relevant experience which provides the necessary skills, knowledge and abilities.

SKILLS/KNOWLEDGE/ABILITIES (SKA) REQUIRED:
  • Basic knowledge of IT functional operations.
  • Excellent verbal and written communication skills with the ability to compose reports supported by graphics and multi-media components.
  • Advanced knowledge of computers, word processing, database, and spreadsheet software with data entry and typing ability of 60 wpm.
  • Excellent organizational and interpersonal skills and ability to prioritize work.
  • Ability to maintain confidentiality on all levels and at all times.
  • Ability to use diplomacy, discretion, and appropriate judgment when responding to inquiries from staff and external customers as well as anticipating needs of the department.
  • Significant ability to establish work flows, manage multiple projects, and meet necessary deadlines while maintaining proper relations among executives, directors, managers, and staff, maintaining composure during stressful situations occurring as a result of workloads and/or deadlines.
  • Ability to solve practical problems and deal with a variety of variables in situations where only limited standardization exists.
  • Ability to comprehend consequences of various situations and make appropriate individuals aware of same for decision making.
  • Ability to proofread documents for accuracy of spelling, grammar, punctuation, and format.
  • Ability to perform mathematical calculations.
  • Ability to follow complex instructions and to apply instructions and guidelines in the disposition of problems.
  • Ability to be creative and resourceful.
  • Ability to take accurate minutes of meetings.
  • Ability to work effectively in a multi functional business unit.

WORKING CONDITIONS:

Work is performed in an office setting with no unusual hazards.

REQUIRED TESTING:

Advanced Word, Advanced Excel, Advanced Windows. Reading Comprehension, Math, Typing 60 wpm. and Proofreading.
