Job Description

The primary function of the Client Service Associate is to support designated Relationship Managers/Advisors in day-to-day client contact, relationship management, trust and investment account administration, compliance requirements, and other functions as required to maintain excellent relationships with clients, external professional advisors and internal business partners for the Wealth Management department (department').

RESPONSIBILITIES MAY INCLUDE:


  • Account Support and Administration: Support managers and Advisors in the administration of trust, investment, retirement and brokerage accounts. Duties may include;
    • Daily transaction processing, securities transfers, cash and check requests, gifts, deposits, routine client information requests and updating client information.
    • Monitor and review daily reports for accuracy, action items, resolution and follow-up.
    • Assist with account opening, asset transfer, account terminations, and special asset management.
    • Manage incoming and outgoing client communications, including preparing correspondence and managing document retention.
    • Responsible for performing daily account administration and client service activities such as processing checks, generating daily reports, reviewing cash balances and processing of trade instructions.
    • Respond to Audit and internal compliance requests as necessary.
    • Receive incoming calls and direct appropriately within the department.



  • Client and Manager Support: Act as an initial point of contact for client inquiries and team communications.
    • Independently handle certain routine to moderately complex client matters and undertake research or take needed action to resolve (with guidance from senior officers where appropriate).
    • Serve as direct back-up to other team/office support professionals to provide team-based coverage. Coordinate client meetings, including scheduling, dining arrangements, travel, security and other related activities.
    • Assist in the reception of client guests, and answer office phones as needed.
    • Prepare client meeting materials; assist with the preparation of presentation materials for meetings in collaboration with relationship teams or other departments to ensure deadlines are met.
    • Review pertinent account information on the trust accounting system daily to identify overdrafts and resolve other issues with the Account Officer(s).
    • Review accounts monthly and prepare the annual account reviews. Review and organize the account file, ensure statements and distributions are set up and tax documentation is in order. (Any discrepancies or concerns are discussed at the account review meeting to ensure recommendations are implemented accordingly.)
    • Responsible for clerical and administrative support such as data entry, email, updating reports, faxes, appointment scheduling, travel coordination, expense reports and sales support.


Qualifications

  • High School diploma or equivalent required, Bachelor's degree highly desired
  • Minimum of two (2) years of working experience in a professional related position is required
  • Prior banking or wealth management-related experience is highly desired
  • FINRA licenses (S7, S66, Life & Health) or ability to obtain is highly desired
  • Expected to become familiar with and learn Wealth Management/Brokerage products
  • Proficiency in Microsoft Office products (Microsoft Word, Excel, and PowerPoint) required
  • Excellent written and verbal communication skills required
  • Strong organizational skills required
  • Ability to multi-task in a fast-paced environment to meet deadlines required
  • Ability to interact in a professional demeanor with all levels of staff, including Executive Management, and customers required
  • Ability to work independently and as a team
