Calendar Management/Communications

  • Maintains calendars, meeting requests, and other scheduling responsibilities for A&S Fiscal Officers (3).
  • Assists in planning staff meetings or training sessions with agendas and other meeting materials.

Office Support

  • Answers phone, directs calls, and records messages.
  • Ensures accuracy, thoroughness, and confidentiality of information pertaining to faculty, students, staff, departments and programs.
  • Digitizes and indexes office and faculty documentation and files.
  • Orders office and kitchen supplies.
  • Orders food for staff meetings.
  • Maintains supply inventory log for office reference.
  • Handles miscellaneous office duties (eg, maintaining emergency office telephone list, birthday lists, events).
  • Coordinated monthly shredding with Facilities.
  • Assists with projects (eg. faculty file indexing).
  • Processes and tracks work orders.
  • Processes materials for Director's authorization.
  • Coordinates, reviews and processes requests for the Computer Upgrade Program.

Staff Human Resources

  • Processes recruitment actions for hiring divisional staff by entering request and tracking search to completion (in the DORR system).
  • Schedules interviews and orientation for new staff.
  • Assists with onboarding and exiting of staff.
  • Assists with HR related communications within A&S division, including New Hire Checklist, websites, confirming and referencing central on HR processes and policies, and drafting and sending communication on behalf of A&S leadership.
  • Consults with individual supervisors regarding reorganizations, recruitment, or position review.
  • Assists leadership in collecting inclusive excellence metrics.
  • Collects performance evaluations.
