The Administrative Assistant keep everything running smoothly so all other staff can focus on their jobs. Responsibilities vary based on site, staff and company needs. Primary duties include receptionist tasks, coordinating office maintenance/services, vendor partnerships, new-hire on-boarding assistance, employee engagement and reporting work.
Maintains databases \\"admin access\\" (IE: updates, uploads documents, archives/deletes irrelevant material)
Runs, analyzes and distributes assigned reports
Greets guests, maintains visitor logs and answers incoming calls for site.
Signs for and distributes package deliveries
Ensures maintenance and proper operation of major site equipment (IE. Printers, faxes, security system, badges) and restocks base supplies)
Assists/Processes submittals for new purchases and office set up (IE. Computers, headsets, monitors, office supplies, voice mail set-up)
Partners with vendor services and landlord to ensure site needs are met (IE. vending machines, building maintenance and janitorial services)
Ensures that site shred bins are secure and serviced
Assists with HR functions (IE: benefit packets distributed, new hire information entry, coordinating site HR activities)
Coordinates and manages site events and employee engagement activities
Must be able to maintain confidentiality of information
Other duties as assigned

High School Graduate or General Education Degree (GED)
2 to 5 years administrative work and/or contact center customer service experience is preferred
1+ year(s) experience in an Administrative Assistant position strongly preferred
Excellent customer service and people skills and must be able to work independently or with a team
Ability to quickly learn new technology and processes
Must be able to understand and follow complex instructions
Read, write and understand English fluently
Ability to accurately type 35wpm
