Job Description:

The USC Office of Admission is seeking a Budget/Business Technician to join our team. The Budget/Business Technician performs a combination of duties related to the processing and monitoring of business transactions for the USC Office of Admission. This role assists in the setup, maintenance and monitoring of departmental accounts. Assigns account numbers for routine business transactions. Prepares, processes and/or reviews paperwork, e.g., department orders and check requests, requisitions and other budget and business forms. Prepares and processes travel advances and reimbursements for Admissions staff.

The Budget/Business Technician inputs financial data to departmental accounting systems using Kuali and USC emarket. Reconciles internal records using the ASR. Researches problems and corrects errors or brings to the attention of the supervisor for further consideration. Additionally, the Budget/Business Technician deposits income from special events (USC Explore) to appropriate accounts. Prepares KUALI cashiering reports for drop-off and deposit.  Processes gift receipts. Monitors blanket requisition charges and itemizes expenses.  Works collaboratively with the Enrollment Services Finance team by preparing DVQE data on special Excel reports that include airfare, hotel and rental car expenses.

The selected candidate will be expected to monitor and/or control expenditures for intercampus and external vendors. Reconcile vendor statements and pay invoices. Interface with purchasing, external vendors and accounts payable to verify prices and resolve discrepancies. Track equipment purchases and obtain maintenance contracts. Assist with the letter/I20 processing, specifically printing certificates and entering mail codes into the Student Information System (SIS). This position reports to the Support Services Supervisor for the Office of Admission.

Job Qualifications

Minimum Education:

  • High school or equivalent

  • Combined experience/education as substitute for minimum education

  • Bachelor's degree

    Minimum Experience:

  • 1 year

    Minimum Field of Expertise:

  • Business administration, accounting or related degree and budget experience including knowledge of government and fund accounting. Strong computer skills with use of automated spreadsheets.

    Preferred Field of Expertise:

  • Prefer university budget experience and knowledge of university financial systems.
