Job Description:

The successful candidate for this position will provide the following administrative support:


  • Effectively manage 3-4 VP Principals’ complex calendars (accept, decline, reschedule meetings collaboratively with fellow EAs or meeting schedulers across and external to Prudential)

  • Extensive scheduling of complex meetings – including set-up of conference calls, preparation of meeting materials, management of related meeting logistics (e.g., WebEx/VTC set up, conference room reservations) for Principals

  • · Coordinate travel arrangements and effectively navigate potential travel challenges that necessitate changes to pre-existing plans

  • · Prepare, submit and track general expense and travel vouchers through the Source2Pay system; review the accuracy of expense vouchers, reconcile discrepancies and ensure appropriate resolution

  • · May answer and screen telephone calls for Principals, respond to inquiries as appropriate

  • · Procure and manage office supplies for Principals

  • · Maintain electronic and/or hard copy files for Principals in accordance with records retention policies

  • ·   Will partner with and support/back up executive assistant to the Customer Office Chief Marketing Officer


  • · Perform other administrative support duties, as appropriate

Competencies/Qualifications Required:


  • Demonstrated ability to work with / manage highly confidential information

  • Excellent organizational skills and the ability to effectively juggle multiple priorities

  • Strong attention to detail and critical thinking skills

  • Excellent written and verbal communication skills

  • Self-motivated; demonstrates initiative, anticipates issues, provides realistic solutions, employs sound judgment and makes timely decisions

  • Comfortable working in a fast-paced and evolving environment

  • Ability to work effectively under tight time constraints and flexibility to work overtime when needed

  • A positive attitude and inclusive approach are essential

  • Advanced skill in using Microsoft Office Suite to create and modify documents

  • Demonstrated ability to develop and manage relationships with internal and external partners

  • 3-5 years of experience in administrative support roles; executive support experience, a plus

  • Experience in the financial services industry a plus
