We're hiring an Administrative Assistant in our fast paced Executive Midtown New York City office (no relocation offered).
Your Responsibilities: Provide administrative support to the leaders in the NYC office
Assist and Manage all aspects of executive calendar daily, coordinating meeting schedules and gathering necessary information for preparation of meetings.
Coordinate complex travel plans, both domestic and internationally.
Reconcile expense reports; prepare presentations and other forms of correspondence.
Coordinate interview schedules for external senior level executive candidates, including coordination of travel.
Handle routine correspondence from both internal clients & external contacts.
Answer & screen telephone calls.
Coordinate and maintain department work flow.
Coordinate new hire onboarding including pre hire readiness and paperwork
Provide back up and cover to the current Admin Assistant during absence and business travels
Professionally, pleasantly, responsively and judiciously interacts with all levels of the organization including officers and board members, as well as external investors and stakeholders
Integrative thinker with ability to prioritize multiple tasks to meet deadlines
Willingness to work flexible hours
5+ years' Administrative Executive experience, supporting Executives
High proficiency in Microsoft Word, PowerPoint, Outlook, Excel, Lync, Internet Explorer.
High School diploma or GED
Bachelors' degree preferred
Concur experience preferred
Ability to interact with all levels of the organization including officers and board members; also ability to interact with external stakeholders
Ability to prioritize multiple tasks to meet deadlines
High level of discretion related to sensitive and confidential data
Strong written and oral communication skills
Good understanding of corporate governance and related policies and procedures
High level attention to detail and organization skills
Outstanding judgment and problem solving capabilities
Self-starter who anticipates activities and/or problems and proactively addresses
Stays current and easily adopts new office technology & tools
