Under general supervision of the Manager Staffing Office and Operations - Nursing, the Nursing Operations Support Analyst is responsible for the coordination of the traveler process for Nursing and other clinical areas of the hospital. Performs and analyzes payroll compliance and staffing levels for Nursing. Responsible for collecting and archiving payroll records. Provides support for Nursing applications including scheduling, payroll, Optilink, Analytics, etc.
ESSENTIAL RESPONSIBILITIES / DUTIES:
Contract/Contingent workers (Travelers)
- Works closely with inpatient and outpatient leadership, payroll and human resources as a liaison in partnership with temporary staffing agencies to source, vet, and hire competent temporary contract/contingent workers.
- Performs appropriate administrative and operational research to support proposal and contract development while ensuring accuracy and appropriateness of contract text based on strategy discussions, senior management input, and organizational needs and expectations
- Management of temporary contract workers database while ensuring that contracts and proposals are properly and securely maintained.
- Assists managers and directors in maintaining accurate position control. Track the hiring, transferring and termination of contract/contingent workers to assure Kronos is updated in a timely fashion. Work collaboratively with nurse leaders and human resources in this activity.
- Tracks and monitor nursing licensure and health compliance requirements for all contract/contingent workers.
- Coordinates the onboarding of temporary staff. Assist in the management of invoices to assure timely and accurate payment.
Payroll/Staffing Support and Analysis
- Assists with Nursing weekly payroll functions. Perform and analyze compliance audits. Work with managers and operations supervisors on resolving outstanding issues. Train timekeepers as needed.
- Collects and archive all nursing payroll documentation. Maintain log for compliance and accessibility.
- Runs compliance reports for Optilink and work with managers to make data complete.
- Provides support for current and new systems initiatives in payroll, scheduling, self-service, Labor Analytics, etc. Ensure accurate data.
- Assists in maintaining and testing applications and updates. Open/close schedule periods, audit and correct census data, update workload numbers for scheduling.
- Analyzes unit staffing schedules to proactively identify and begin to fill staffing holes.
- Supports maintenance of the Send Word Now users and content.
- Cross trains to Staffing Office.
- Performs other related duties as needed.
A Bachelor degree (or equivalent) in Business or related field.
Minimum 3 years of relevant office, staffing, scheduling or health care experience.
KNOWLEDGE AND SKILLS:
- Requires excellent communication, interpersonal and problem solving skills.
- Excellent organizational skills to set priorities and efficiently complete work assigned.
- Proficient computer skills required and experience with a staffing and scheduling application preferred.
- Ability to work independently and to make decision based on departmental polices and established procedures.
- Must be able to maintain strict protocols for all confidential and sensitive information.
